This position will perform diverse duties and administrative functions for the Business Development team, requiring confidentiality, initiative and sound decision-making. Requires excellent organizational skills and the ability to effectively handle multiple priorities. Duties include coordinating meetings/calendars, coordinating travel arrangements, preparing presentation materials, preparing weekly and monthly reports for senior management (such as deal pipeline reports), ordering and maintaining supplies, submitting expenses/processing invoices and reviewing incoming correspondence. Must also exercise independent judgment, escalating serious or unique problems to higher levels.



Position will also have responsibility of coordinating all prospect site visits, including meeting room, transportation, signage, catering, hotel if necessary, etc. Will also be responsible for maintaining stock of gifts provided to partners during visits (pens, shirts, etc.), including vendor management and inventory control.

REQUIREMENTS


Strong PC skills - proficient knowledge of MS Word & Excel, and particularly proficient in PowerPoint

Knowledge of general office procedures (e.g., filing, correspondence, scheduling, expenses, calendar)

Effective interpersonal skills

Superior oral and written communication skills

Excellent telephone etiquette

Tact and good judgment in confidential situations and proven experience interacting with senior management

Well-organized, efficient and detail-oriented

Adaptable team player

Good problem-solving ability

4-6 years of experience in an administrative assistant role
