Commercial Property Staff Accountant
POSITION: Property Staff Accountant
REPORTS TO: Controller
POSITION DESCRIPTION:
Under general supervision, performs a variety of professional accounting work; compiles, prepares, and maintains financial data and records, ensuring that all financial data are recorded in accordance with generally accepted accounting principles and consistent with established policy and procedures.
PRIMARY DUTIES:
Accounts Receivable – Deposit and post commercial tenant rent checks. Post monthly tenant charges and adjusting charges. Post all applicable late charges. Research tenant account history as needed. Provide delinquency status to property managers. Prepare and mail monthly rent billing statements. Maintain Percent Rent reports. Maintain Commercial Occupancy Summary reports. Maintain Tenant Insurance Certificate reports. Handle all new tenant set-ups. Review monthly residential cash receipts and tenant ledger reports.
Accounts Payable – Cash Requirement Report – Analyze Current Liabilities & Cash Flow.
Prepare semi-monthly payable runs, including coding invoices, verifying invoice accuracy, entering them for payment, running the checks and mailing them. Monitoring priority payments of insurance, property taxes, mortgage payments, owner distributions as specified, management fees, petty cash and all utilities.
Preparation of Monthly Financial Package (They have a certain procedure and report to owner which consists of Balance Sheets, Income Statements) – Post journal entries, accruals, amortizations, etc. Run and balance all reports for final financial package. Prepare checking account report for the bank account reconciliation process. Provide copies of accounts payable or cash receipts per client requirements. Coordinate all cover letters or management narratives as required by client. Send financial package to client.
Monitor Cash Position – Maintain current, accurate manual cash flow for each property. Advise Accounting Manager and Property Manager of cash flow problems.
New Property Set-Up – Set up tenant ledgers, maintain vendor information, input budget figures. Coordinate with Accounting Manager on set-up of any special chart of accounts or client reporting requirements. Prepare and maintain Property Information reports. Set-up property Cover Sheets, Cash Sheets, Lease Commission Amortization Schedules.
Property Transfers – Coordinate property transfer process. Prepare final reporting package for owner. Calculate all needed prorations. Finalize payroll billbacks, FED-EX charges, postage and copy usage charges. Collect payroll deposits from Payroll Department. Prorate and bill final management fees. Prepare accounting files for transport to owner. Coordinate final closing data disk with Accounting Manager.
1099 Reporting – Complete all 1099 reporting by specified deadlines.
CAM Reconciliations/Billbacks – Prepay all the tenant insurance policies.
Maintain monthly CAM spreadsheets. Obtain approval of reconciliation by CAM Coordinator and Property Manager. Coordinate preparation and billing of finalized and approved Reconciliations.
Miscellaneous – Any miscellaneous projects as assigned. Provide overload assistance to other staff accountants, including any of the above-specified duties. Assist with the Bank Reconciliation process.
REQUIREMENTS
EDUCATION/EXPERIENCE:
Possession of a degree in accounting and/or a minimum of three years of professional accounting experience.
KNOWLEDGE:
Principles, practices and methods of modern accounting and reporting; modern office practices, procedures, methods, accounting equipment and software. Experience with Windows NT, Windows 2000, Yardi Systems-Windows, MRI-Windows, LOTUS Release 5.0, STRONG Microsoft Excel and Microsoft Word software.
SKILLS:
Analysis of financial documents and reports; working independently from general instructions; communicating clearly and concisely, orally and in writing.
