JOB SUMMARY

The successful candidate will report to the Director of Property Management and will assist with Virginia and Maryland properties, therefore limited travel is required. Opus East Management currently oversees several existing office and industrial properties in VA, MD, PA and NJ and will continue to build and manage additional commercial buildings up the entire east coast. Our current portfolio includes government and private office, industrial and limited retail facilities.

The Assistant Property Manager assists the Director, Senior Property Manager or Property Manager in the management of an assigned portfolio of properties. The Assistant Property Manager works closely with the engineering staff, the accounting staff, and third party vendors to ensure adherence to building standards approved by the property owner.

DUTIES AND RESPONSIBILITIES

Accounting

1.Assists in the preparation and timely submission of monthly reports and other periodic reports to owners, in a format and on a schedule determined by the owners.
2.Assists in the proper setup and termination of leases, the proper management of payables and receivables, and the timely calculation, billing, and receipt of operating expense escalations and CAM recoveries. Timberline accounting software is currently being utilized, however a conversion to JD Edwards will take place in 2007.

Operations

1.Participates in periodic property inspections to ensure proper preventative maintenance, code compliance (including ADA), energy management policies, vendor management procedures and standards.
2.Manages and prepares vacant space (in ready to show condition at all times).

Risk Management

1. Monitors property, tenant, and vendor insurance requirements; claims processing; building security; life safety policies, procedures and training; and employee safety.

Planning and Reporting

1.Assists in the preparation and timely submission of annual budgets and business plans in a format and on a schedule determined by the owner.
2.Assists in the preparation and timely submission of monthly financial, variance, and delinquency reports.

Tenant Relations

1.Provides service to tenants in accordance with each lease, with such service designed to maintain tenant satisfaction, resulting in lease renewals and expansions on optimum terms.
2.Coordinates tenant move-ins and move-outs.
3.Monitors and follows-up on tenant concerns that cannot be handled in the normal course through the service desk.
4.Coordinates tenant events and tenant surveys as required.

Contract Management

1.Assures compliance with contracts pertaining to assigned properties. Contracts include management agreements, lease agreements, license agreements, service contracts, and construction contracts.
2.Assists in the preparation and evaluation of bids for services from third party vendors.
3.Uses contract forms approved by the owner.

Leasing

1.Assists third party brokers retained to lease space in assigned properties.
2.Shows space as required.
3.Assists in the preparation of leasing and marketing plans as part of an annual business plan.
4.Maintains current knowledge of market conditions to support annual marketing plans and marketing recommendations to owners.
5.For each assigned property, knows the current lease rate, lease terms, and occupancy rates for five comparable properties.

QUALIFICATIONS

1.College degree or equivalent work experience.
2.Basic understanding of accounting, accounting principles and accounting software.
3.Excellent verbal and written communications skills. Customer service and/or customer contact experience.
4.Proficient PC skills (Microsoft Word, Excel, Outlook).
5.Prior commercial property management experience is preferred.
6.Ability to respond to emergencies at any time.
