Senior Property Manager

Specific responsibilities include the following:
•Tenant move-ins including the preparation of commencement letters, welcome binders and lease administration
•Act as liaison between customer and construction management and participate in punch list walk-through and follow-up; coordinate finish selection
•Evaluate annually all service contract requirements and oversee property maintenance contracts
•Coordinate repairs, maintenance and site inspections
•Perform regular inspections of vacant suites, common areas, building exteriors, and landscape and grounds
•Processing of Accounts Payable
•Collections of Accounts Receivables, including timely service of Notices required in connection with A/R collection
•Monthly variance reports, ensuring accurate data updates of any lease changes
•Development of a comprehensive capital improvement schedule for each property
•Coordinate operating expense reconciliations with accounting, be knowledgeable of lease provisions
•Supervise maintenance personnel, administrative personnel and assure superior customer service
•Effectively manage work orders and vendor/contractor relationships to achieve high satisfaction levels from owners and tenants
•Oversee the development, monitoring and reporting of the operational and maintenance budgets
•Review and analyze contract and service agreements to ensure that the terms comply with appropriate guidelines, contracting principles, cost constraints as well as with corporate and client procedures
•Other special projects and duties as assigned.

COMMUNICATION SKILLS
Customer Service: There is considerable emphasis on this very important job function. Specific responsibilities include the following:
•Must develop and maintain positive relationships with tenants while administering lease provisions; and develop an understanding of unique tenant needs and concerns.
•Provide concise documentation as it relates to property management and tenant issues as they occur
•Comprehend, interpret and communicate lease terms and conditions in written correspondence
•Maintain and manage day-to-day relationships with tenant contacts
•Anticipate and respond to customer needs/requests

Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

To perform the duties of this job, the employee is required to sit 50% of the work day and use hands to handle office equipment, paper reports, etc. The employee frequently is required to move throughout the property, including up and down ladders and stairwell. The employee is occasionally required to reach with hands and arms to lift up to 10 pounds as needed.
REQUIREMENTS
QUALIFICATIONS
Real Estate License. Computer literate. Experience working with property accounting software. Bachelor’s degree preferred by not necessary. A minimum of 5 years commercial office property management work experience with supervisory responsibilities required. Minimum of 3 years project management experience.

JOB SKILLS
The candidate must be able to coordinate various projects, including new tenant improvement construction, renovations, and major repairs of new and existing offices. The person will also be responsible for preparing requests for proposals and associated bid documents. Also responsible for managing and overseeing property/facility management, procurement of vendor services, management of work orders, project management of tenant improvements and building system upgrade perform property accounting duties in accordance with The Abbey Company’s Control Book Policies and Procedures.
