Senior Administrative Assistant, General Counsel

Provide executive secretarial and administrative support to Vice President, Associate General Counsel and Corporate Secretary and two corporate lawyers. Work closely with VP in managing a team of 10 associates. Anticipate needs; prioritize time; manage multiple calendars, including scheduling meetings across multiple regions and time zones. E-mail management. Coordinate travel arrangements by determining best travel options including flights, car service and hotels and preparing travel itineraries. Screen and appropriately direct external and internal calls, as well as sort and prioritize incoming mail. Maintain expense reports for three associates, ensuring all receipts and backup information is available.
Maintain on-going knowledge of all projects/information being handled by department in order to ensure efficient workflow. Coordinate information flow and support between corporate headquarters and the company’s global operations in over 120 countries. Assess documents received from Avon subsidiaries to ensure proper signatories, obtain signatures and follow up to ensure timeliness. Manage & track the legalization of corporate documents through all proper government channels. Handle petty cash account for processing of legalization. Handle filing, faxing, office supply ordering. Maintain subscriptions and update legal library information. Work on special projects, as assigned.

Work overtime hours, as requested.
REQUIREMENTS
A minimum of 5-7 years executive administrative assistant. Excellent interpersonal, oral and written communications skills. Excellent organizational skills with outstanding attention to detail. Requires a high degree of professionalism and sound business judgment to interact with senior management and work with other administrative assistants in different countries. Proficient in coordinating international travel and scheduling international meetings. Must be proactive and able to work independently with minimal supervision and in a “virtual” environment while management staff is traveling. Demonstrate ability to handle sensitive and confidential information and flexibility to provide quick turnaround under tight deadlines. Experience interfacing with all levels of management (including senior executives) and external contacts. Highly proficient computer skills: Lotus Notes, Microsoft Word, Excel, Transcription of Dictaphone Notes; quick to learn new computer systems. Experience in an international legal corporate environment a plus. Some college education and international experience preferred.
