RECEPTIONIST/SECRETARY

Maintain front desk and reception area: - fill candy dishes - straighten up magazines, furniture, carpet - fill business card holders

Receive and screen all individuals who visit the office suite: - clients, including clients for other tenants - postal workers - delivery persons - solicitors - any other visitors

Answer and redirect telephone calls as appropriate: - review general office voice mail and redirecting messages as appropriate - maintaining telephone messaging system (i.e. changing recorded messages as appropriate and necessary)

Handle incoming mail, faxes, emails, and packages: - sort and redirect mail, faxes, emails, and packages as appropriate - distribute incoming mail, faxes, emails, and packages - review mail - create mail/fax/email, payment, and cost logs - monitor and redirect incoming invoices and incoming payments as appropriate

Handle outgoing mail, faxes, emails, and packages: - prepare transmittal and enclosure memos and correspondence - proofread and final review of outgoing correspondence - prepare outgoing correspondence for mail, fax, delivery (i.e. make labels, print letters and envelopes, send fax, photocopy, etc.) - drop off mail, FedEx, UPS, etc., at the appropriate locations and times, and sign proofs of service re mailings as appropriate

Handle general office suite related issues: maintenance requests or complaints from tenants - book and confirm conference room reservations - maintain inventory of office related supplies and postage and place orders as necessary

Make appointments and maintain office calendar: - book and confirm appointments - diary due dates and deadlines - remind legal staff of appointments and deadlines

Maintaining files and file room: - creating new files, closing out old files, preparing correspondence to clients re destruction of old files - filing

General photocopying, General typing and data entry, Other duties and tasks to be assigned and as required REQUIREMENTS


Our ideal candidate will have a minimum of two years of related experience, preferably within a law firm. Strong communication and interpersonal skills required to interact with staff, attorneys and clientele on a regular basis. Excellent organizational skills necessary to juggle multiple tasks and assignments. Ability to work effectively in a fast-paced environment.
