This qualified candidate who is selected for this position will perform a wide variety of duties to support the Sales and the Human Resources departments. Core responsibilities will include, but are not limited to:



*Individual correspondence & mail-outs to prospects and clients

*Mass mail-outs to prospects and clients

*Design, editing and updating of corporate PowerPoint presentations used for marketing outreach

*Lead generation research

*Responsibile to gather, coordinate, and write responses to RFI’s and RFP’s, including timely completion and confirmed shipping/delivery before the cutoff date defined by each RFP/RFI’s requirements.

*Word processing (letter & report generation)

*Spreadsheet utilization (mail merges and statistical tracking)

*Adding and updating the accuracy of data in several databases

*Moderate amount of small event planning

*Complete responsibility for all details and preparations for tradeshows we attend

*Partial responsibility for travel arrangements, reservations and tracking for any Sales representative as assigned by the Vice President of Sales

*Other general day-to-day administrative support to Sales department staff such as letters, reports, agendas, typing, filing, mailing, phone messages as needed

*Maintaining a library of HR forms for new hires, benefits coordination and other employee needs

*Processing new hire paperwork and assuring all forms are completed

*Daily pickup and drop off of mail from the post office

*Handle the scheduling of all necessary service or maintenance calls for copiers and printers under the cooperation with the IT department.

*Adequate and organized management of files for all work, both Sales and HR related

*Actively support other administrative assistants in a team environment.

*Answer telephones, transfer calls as appropriate or handle the call if knowledgeable on the subject under discussion.

*Train as backup in areas as assigned by CEO, and train other administrators to provide backup for him/her to assure continuity of productivity during absences.
REQUIREMENTS


The qualified candidate will exhibit measurable proficiency, through a relevant and related employment history, of the following skills, knowledge and abilities:

* Intermediate-level skill in PowerPoint, Microsoft Word, Excel and Outlook.

* The ability to create complex PowerPoint presentations, mail merges, newsletters, brochures and other marketing work product.

* Basic data entry skills in Microsoft Access.

* Past experience writing bids or RFP & RFI responses. Experience working with government contracts especially helpful.

* Experience supporting sales department staff and their unique needs both in the office and on the road

* Experience handling tradeshows: registration, booth shipping, managing the timeline, travel reservations.

* HR experience helpful

* Ability to perform secretarial duties with speed and accuracy without immediate or constant supervision.

* Knowledge of modern office methods and procedures, filing, telephone techniques, office equipment, Microsoft Office Suite software.

* Must be fluent in both spoken and written English.

* Ability to accurately deal with multiple tasks simultaneously while meeting demanding lines.

* Good communication skills and professional demeanor for dealing with clients.

* Ability to maintain good working relationship with all co-workers and the general public and to use good judgment in recognizing scope of authority.
