Medical Records Supervisor

Cumberland Heights is a nationally recognized alcohol and drug treatment center located west of Nashville on the banks of the Cumberland River. Established in 1966 as a non-profit organization, Cumberland Heights offers both in-patient and out-patient services for individuals as well as support programs for family members. We currently provide treatment services in 7 locations throughout Tennessee and have 250+ employees.

The Medical Records Supervisor is responsible for the organization’s management of patient records in all forms. S/he ensures the privacy, safety, and security, as well as completeness and accessibility of patient records, acting in accordance with relevant state/federal laws and other healthcare regulations. This position ensures information is appropriately disseminated to those with authority and need to view or use patient records. The position oversees the daily operation of the medical records department and it staff members as a service bureau to internal and external customers. The Medical Records Supervisor serves as an internal consultant to other management staff in legal matters related to the patient record.

•Develops, implements, supervises and evaluates medical records functions and processes, including creating and revising relevant policies and procedures for same.
•Protects confidentiality, privacy and security of patient records at all times.
•Responds to information storage and retrieval needs of current and former patients, staff, regulatory bodies, auditors, courts, etc. & ensures proper handing of court orders and/or subpoenas.
•Responds to the needs of staff from all departments for prompt entry of paper records into the electronic environment, working with clinical management to prioritize same.
•Supervises medical records staff in responding to requests for information, the process of information storage, and other aspects of daily medical records department operations.
•Attends a variety of administrative and quality management meetings.
•Arranges monthly open chart and quarterly closed chart audits and maintains aggregate data on same.
Provides data and analysis for monthly operating report to supervisor as assigned

Requirements:
•High School diploma or GED required; Associate’s Degree or higher in Information Management or related field preferred: RHIT preferred; three (3) years experience in general medical records field with behavioral health experience preferred; one (1) year management experience required.
•Excellent supervisory skills.
•Excellent problem-solving, interpersonal, written and oral communication skills.
•Superior organizational skills and for managing and prioritizing multiple tasks and projects
•Ability to use all Microsoft Office applications, particularly Excel.
•Ability to use electronic scanning and clinical software.
•Thorough familiarity with and ability to apply laws, regulations and regulatory body standards to alcohol and drug treatment records.
