Account Manager
Columbia MedCom Group is a successful medical communications firm. The company is comprised of two subsidiaries, Medicalliance and INNOVIA Education Institute. Medicalliance’s mission is to provide a full range of medical marketing services while INNOVIA focuses on developing, managing and accrediting educational programs for physicians and other healthcare professionals.
Under the direction of the Account Supervisor, the Account Manager (AM) is responsible for managing and monitoring all aspects of the client relationship in terms of project details for his or her team’s assigned contracted projects. The AM monitors on-going projects to ensure quality and consistency with strategic direction as outlined in the project profiles, budget and time allocations. In addition, the AM most often serves as the primary client interface in all communications regarding project status, billing, distribution, and fulfillment. The AM manages the workload of the Account Coordinator (AC) and Project Services Associate (PSA) assigned to his or her team and contributes to their professional development.
The Account Manager is accountable for maintaining adherence to project scope of service parameters and for achieving project profitability goals within the management services budget area.PRIMARY RESPONSIBILITIES:•Manage the implementation of assigned projects and related tasks by the team, including overseeing the coordination of vendor relations, meeting logistics, and accreditation services functions for each project.•Ensure that implementation projects conform to scope of service guidelines as expressed in the project profile, or alert team to make provisions for expanded scope.
•Manage the daily activities and professional development of assigned Project Services Associate and Account Coordinator, including conducting annual (and other) reviews, assisting in the hiring process, and salary considerations.
•Ensure that client communication is timely and accurate by generating status/contact reports to clients that address internal and external timeline changes, project details, and deadlines and by on-site visits and conference calls with clients.
•Assist team with tactical development efforts including contributing to project profile development and managing the generation of detailed budget. In the event of a change in scope of service, the AM identifies the need for a budget change form.
•Manage and review team project financials to include monitoring of hours used as related to professional fees and direct billable costs and review and approval of project related purchase orders.
•Enter and update invoice projections, planned hours, staff assignments, and timelines for the team’s sold projects.•Direct the invoicing process with internal and external accounting departments. Manage the collection of aged receivables.
•Provide on site client contact and/or logistical support for advisory board meetings and symposia.
•Implement procedures pertaining to regular team meetings, team confirmation meetings, and routing.
•Monitor reports from JEMS and MAS to ensure accuracy.
REQUIREMENTS
MINIMUM QUALIFICATIONS:
This position requires a Bachelors degree in Business Management, or a related field and 3-4 years experience working within a financial, project based business environment to include work with budgeting, invoicing, and tracking expenditures. Incumbents for this position should possess solid team management skills along with organization skills, and an ability to handle multiple tasks and prioritize. A very high level of attention to detail is an absolute must have for this role. Candidates should equally possess strong written and verbal communication skills, including ability to interact with all levels of the company and its customers.
Candidates must posses a high level of computer literacy in Microsoft Office to include functions related to word processing, spreadsheet formulation, and database management.
