Documentation Specialist/Trainer

Job Summary: Under general supervision, prepares and/or maintains the documentation to support the initiatives and strategic objectives of the Information & Communications Technology department. Documentation includes user manuals, technical documentation, training material, on-line lessons and on-line documents. Creates, maintains, and supports the company’s electronic forms. Includes assessing and improving delivery mechanism and maintaining a current internal documentation library and local libraries throughout the organization. Supports the company’s Policy & Procedure system by updating documents, assessing and improving the delivery mechanism, and communicating updates. Supports the company’s information technology security plan and initiatives. Conducts classroom and WebEx training as needed.
REQUIREMENTS
Responsibilities: Working in conjunction with specific internal customers, he/she will: Documentation and Forms · Respond quickly to inquiries and requests for documentation and standard forms. · Maintain standard visual format of documentation and standard forms. · Maintain consistency of terminology in documentation and standard forms. · Support P&P system by updating documentation, posting and evaluating delivery mechanisms. · Maintain library of forms and constantly assess delivery method for effectiveness. · Maintain training and documentation on Americas Portal. Technology Solutions Development and Deployment · Understand the information security implications of our technology solutions and ensure they comply with the Information Security policies and processes. Technology Support · Provide BLL technology users with appropriate levels of support. · Assist Service Desk in the support of BLL solutions. Support BLL’s Culture to Promote Learning and Development · Develop training information and materials. · Help maintain ICT Standard Operating Procedures. · Deliver classroom training as requested. · Evaluate effectiveness of training and suggest improvements. Communications · Contribute actively to department- and company-level communication forums. · Use available company resources to keep personnel informed of availability and updates to documentation and standard forms. · Ensure timely and appropriate communication of information required to make effective use of our technology solutions. Vendor Relationships · Establish and maintain positive working relationships between BLL and our technology partners. · Work with our technology vendors to continually improve the tools available to us.

Minimum Requirements: 1. 4-year college or technical degree preferred, plus 3-to-5 years experience in technical writing, training or other documentation field.
2. 3 - 5 years of technology-related work experience preferred.
3. Experience using Global Knowledge OnDemand product preferred.
4. Proficient in Microsoft Office products, including Word, Excel, PowerPoint and Visio.
5. Ability to interface with a variety of technical and business personnel with courtesy, tact and diplomacy.
6. Solid communication skills (both oral and written) to direct, organize and communicate with others.
7. Proven spelling, grammatical and writing skills.
8. Proven knowledge of graphics applications.
9. Ability to convey information concisely and clearly to all levels of personnel.
10. Has general knowledge of computer systems and related procedures.
11. Highly organized and detail oriented.
12. Comfortable presenting information to small and large groups.
