We are currently seeking a Senior Associate, Corporate Events to join our office located in Chicago, IL.
SENIOR ASSOCIATE, CORPORATE EVENTS - Chicago, IL
Responsibilities:
Assist in the planning and proactive management of client events to ensure they are aligned with the Jones Lang LaSalle brand
Assist with event logistics and budgets where the Group Events Manager is the lead, including managing and reconciling budgets; take the lead on events as appropriate and assigned
Coordinate feedback from business and client attendees to track positives and negatives for integration into a continuous improvement effort
Manage vendor relationships and contracts to leverage maximum financial benefits to the firm
Assist the Group Events Manager with researching and sourcing new vendors and event venues
Serve as a consultant and mentor to Administrative Professional as related to event planning
Assist the Group Events Manager in coordinating and executing internal communications programs such as the Americas Meeting, International Directors Meeting, annual incentive trip (Jones Lang LaSalle Club) and other programs as necessary (promotions dinners, retirement events, Board of Director Meetings, and Executive Committee planning sessions.)
Complete administrative tasks as assigned including invoice processing, filing and archiving, mailing/shipping and scheduling
Provide event planning services, including but not limited to:
research and preparation of site proposals based upon meeting requirements
vendor contracting and negotiation
program collateral creation
menu selection
development of theme and décor
management of attendee database for hotel rooming list and transportation manifests
writing, producing and managing event websites
event on-site staffing
participation in event follow up to include preparation and distribution of event surveys, tracking expenses for final budgets, and appropriate archiving of event and meeting related materials
REQUIREMENTS
Bachelor's degree in marketing/hospitality-related field
Minimum of 3 to 5 years experience in event planning and project management
Excellent creative skills and the ability to art direct for program collateral, florists, catering personnel
Experienced in managing caterers, hotel sales staffs, photographers and other vendors
Extensive travel for events is required
Ability to work as a "team" player
Highly assertive, with an independent work style
Excellent interpersonal skills including high-energy level and poise to interface with firm's top clients and senior management
Excellent organizational skills
Detail oriented
Excellent written and verbal communication skills
Computer proficiency in all Microsoft Office Applications
