Manager of Records Retention & Loan Quality Control

Team: Master ServicingNature & Scope: This position is responsible for the day-to-day operations of the central file room regarding recrords retention and quality control of loan collateral for both the Commerical and Real Estate loan portfolios which includes the oversight of opproximately 4,000+ paper and electronic files. Also provides management of two full-time employees, ensure security of original Promissory Notes and any original loan-related collateral.Responsibilities Include: 1. Manage two full time employees responsible for the disposition of all loan documentation from the loan inception stage through the loan payoff stage, which includes new loan file set-up, receipt of trailing documents, filing of incoming documents as well as management of the Imageware scanning process. This position will also be responsible for managing (3) long- term contractual positions responsible for the document imaging process as well as mentor and motivate staff, provide on the job training and promote career development of full time employees.

Design, develop and maintain quality control and self audit program procedures for all loan collateral related to the both the commercial and real estate loan portfolios in both paper and electronic form. Ensure proper security of original promissory notes, stock certificates, letters of credit, etc.
20%3. Create document retention and destruction policies to ensure compliance with current statutory and regulatory standards. Implement efficient and cost-effective methods for paper document retention. Manage inventory for off-site data storage.
15%4. Serve as a liaison with internal auditors regarding loan file documentation issues.
10%5. Track outstanding trailing documents. Oversee the post-closing documentation process regarding receipt of all recorded loan documentation. Ensure all recorded loan documentation is received once the loan has closed.

REQUIREMENTS
Minimum Qualifications: The ideal candidate for this role will possess an undergraduate degree, a minimum of 5 years documentation experience and 3-5 years previous management experience. Candidates should have formal knowledge and understanding of various loan documentation and collateral, including appraisals, UCC's, environmental and engineering reports, surveys, title reports, insurances,corporate organizational documenation and loan closing documentation. Candidates should be proficient in Prism, Covenant Tracking, Microsoft Office and Imageware.Candidates must possess excellent organizational and analytical skills and excellent written and verbal communication skills along with the proven ability to act in a professional manner when representing the bank to internal and external parties. Proven ability to work independently but recognize when management input is required is a must.
