P.M. Office Assistant
Alexian Center for Mental Health, a community mental health center in the northwest suburbs, has a p.t. opening in our Arlington Hgts. office. You will be responsible for assisting with daily p.m. operations of the center, including customer relations, clerical duties, and billing procedures. Your hours will be 4:00 – 9:00 p.m. M-R. FRIDAY'S OFF!
Minimum job requirements include the ability to handle a variety of tasks at once and enjoy meeting and greeting people. Customer service skills, computer skills, good verbal and written communications. as well as organizational skills are required. We offer a full benefits pkg.
JOB FUNCTIONS:
Performs daily office routines as assigned. These may include, but are not limited to:
Greeting clients and visitors.
Accepting client payments.
Entering therapist schedules.
Preparing day sheets and superbills.
Processing superbills and collected fees.
Scheduling psychiatry appointments.
Clerical support to psychiatrists such as pulling, and filing charts.
Answering phones.
Maintaining office equipment.
Making charts.
Ordering office and janitorial supplies, monitoring cost effectiveness.
Setting up clients in Medical Manager and/or State software.
Processing charges.
Data entry of statistics and charges.
Processing requests for client information from outside sources in accordance with the Medical Studies Act.
Planning all food and shopping for the agency as well as setting and cleaning up after special events.
Call clients for doctor’s appointments, and for all evals for therapists.
Keeping staff mailboxes labeled and current.
Keeping staff phone list current and distributing new phone numbers and passwords to new employees.
Inputting into the state system (CIS) as needed.
Maintain confidentiality of client records and communications.
Uses tact and sensitivity and communicates effectively with clients, visitors, co-workers and other agency personnel.
Demonstrates awareness of client’s needs as a total person (physical, spiritual, emotional, intellectual, cultural, etc.), consistent with client’s age and developmental level. Has competence in working with clients of all ages as defined by agency age specific competency policy.
Shares in the Center’s Vision, demonstrates its Values and Workplace Ethics, supports its Philosophy, and is sensitive to its Mission.
Adheres to and follows the Alexian Center for Mental Health’s policies, procedures, and Compliance Program.
Follows a regimen for professional growth, e.g., by attending various conferences or courses. A minimum of 6 hours of training per year is required.
Recommends quality and/or performance improvement initiatives, particularly for the Support Staff department.
Performs all other duties as assigned.
REQUIREMENTS
MINIMAL JOB REQUIREMENTS:
High School diploma or equivalent (GED).
Prefer a minimum of one-year office experience.
Organizational skills.
Effective verbal communication skills.
Must possess good customer service skills.
Must have basic computer knowledge.
Must be able to work independently with little supervision.
Is able to adequately perform the Essential Functions of this Job; as well as being capable of meeting its Functional and Environmental Requirements.
