The Installation Manager is responsible for coordinating all installation activities within the location between the Sales Teams and outside installation contractors.



Position ResponsibilitiesTrack and record all installation activities with outside installation vendors to include managing the labor quote process with outside installation firms, keeping and updating a central delivery calendar, tracking punch list issues, initiating the proper process to address freight claims, damaged product receipts, etc., updating delivery status on all scheduled order to ensure timely billing, and approving labor invoices.Request and generate quotes from preferred installers, electricians, etc. and log/sort by OM Workspace Salesperson. Facilitate insurance, performance bonds, etc. with the installation company. Managing a central delivery calendar that reflects all scheduled deliveries for the location. Notify sales of installation date. Coordinate the product deliveries. Initiate process for freight claims. Oversee product receiving in business system from outside installation vendor's warehouse receipts.Job site coordination includes: in conjunction with Sales or Project Manager, meet trucks at job site when possible, review activities for the day, and follow-up at the end of the day. Assist with coordinating installations based upon project-meetings, estimated ship dates, end-user needs, construction schedule, etc. Ensure outside installation vendor has installation packet which includes the Project Cover Form, the Receiving Documents, the Delivery Tickets, and the Most Revised Installation Drawings/Panel Matrices. Provide on-site installation presence if necessary on product issues and as a customer liaison. Central point of contact for installation issues. Approve and monitor installation vendor invoice relative to original quote / activate OMW invoice to end-user. Coordinate installation of punch-items, change-orders, new requests.Generate, log and track post-installation report. Oversee post-installation resolution(s) to include, but not limited to: re-order damaged, mis-specified, mis-shipped, short-shipped items; order appropriate product for change-orders and/or new requests; invoice appropriately for additional product and labor charges to outside installation vendor, manufacturer(s)/vendor(s), freight carrier(s), end-user; and complete proper documentation (freight claims, punch list claims, back-charge claims, etc) for applicable parties. Verify customer sign-off on installation project. Take charge of the close-out project.If no Project Manager is involved, must perform additional responsibilities. These include Field Verification/Pre-site visit and participating in Pre-install review process with sales. The Pre-install review process includes reviewing installation plans with sales and install team, keeping track of shipments, identifying unique field requirements, and making dock & elevator reservations. Participate in project sign-off meetings to ensure accurate product order. Lead the final-project-walkthrough and document the Punch List items, change-orders, new requests and back charges.Demonstrates a commitment to OfficeMax core values of safety, integrity, process improvement, and customer satisfaction.The position responsibilities outlined above are in no way to be construed as all encompassing. High school degree or equivalent experience, College education is a plus 5 years as installer; 2 years as Journeyman or strong Contract Furniture installation background Strong Major Systems Furniture experience Strong working knowledge of Codes Substantial knowledge of downtown Chicago's buildings, restrictions, dock/elevator conditions is ideal Proficiency in use of Excel and Word Ability to portray a professional image to customers both in person and over the phone Excellent communication, problem solving and multi-tasking skills Travel will be required locally and possibly beyond
