Summary: Provides administrative support to consultants and management staff by anticipating and meeting their needs, scheduling appointments, maintaining calendars, handling correspondence, and otherwise relieving officials of clerical work and administrative detail.
Essential Duties and Responsibilities include the following. Other duties may be assigned.Executive Assistant:
Opens, screens and routes incoming mail. Locates and attaches appropriate file to correspondence if appropriateComposes and types original correspondence to external contacts. Types, proofreads and edits outgoing correspondence prepared by others (via email or regular mail)Organizes and maintains paper and computer file systems, and files correspondence and other records. Makes copies of correspondence or other printed materialsAnswers and screens manager's telephone calls, and arranges conference callsCoordinates manager's schedule and makes appointments. Ensures that all documents and materials needed for appointments are prepared and delivered to manager and/or proper individuals. Arranges and coordinates travel schedules; anticipates travel needs, makes and changes reservationsProduces Executive Summaries for consultantsUpdates and maintains Goldmine contact databaseCoordinates and arranges meetings, prepares agendas, reserves and prepares facilities, orders refreshments, and records and transcribes minutes of meetingsPrepares outgoing mail and faxesDistributes incoming electronic faxesExpedites quarterly report production to meet consultants’ meeting schedules, and follows up to ensure timely delivery to proper locations
Office Assistant:
Maintains inventory of office supplies. Orders office supplies on a regular basisServes as the main contact person for the local property management office (security, building maintenance, etc.)Plans and coordinates special events (e.g., summer outing, off-site meetings, holiday party, sports tickets, etc.)Acts as relief receptionist
REQUIREMENTS
Executive - Office Assistant
Language Skills: Ability to read and interpret documents such as operating instructions and procedure manualsAbility to write original routine reports and correspondence utilizing proper form and grammarAbility to speak effectively before groups of customers or employees of organization
Reasoning Ability: Ability to anticipate the needs of assigned consultants / managers based on their schedules and past experienceAbility to think independently to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization existsAbility to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
Computer Skills: To perform this job successfully, an individual should have demonstrated expertise in Goldmine Contact Management systems; MS Office Suite.
