Executive Assistant

This top tier consulting firm needs experienced and professional Executive Administrative Assistants. Candidates need to have complex travel arrangement experience, supported a group, and can work in a very fast paced environment. We are really looking for candidates with big firm experience supporting C-level, VP, and CEO-level exectutives.

The ideal candidate is adaptable, driven by variety, has the proven ability to be resourceful and "jump right in".

Here is an overview of responsibilities: Individual will provide full administrative support for assigned constituents (Partner/AP, relief and/or engagement teams)
Coordinate travel and manage travel logistics and preferences
Plan client and non-client meetings, conference calls, conferences/events and lunches/dinners
Print map and/or driving directions
Manage visitor logistics (internal/client)
Be a liaison for and representative of company in dealing with both clients and staff; develop relationships with client and client administrative contacts
Help facilitate productive interactions between Partner, APs or Teams
Manage time and expense reports
Handle/manage telephone calls, phone-mail, mail, and email
Fax; file; copy; bind; send overnight mailings; arrange for deliveries; type correspondence, proposals, documents, billings, interview notes; research and gather information, some entry-level information analysis; perform data entry Create and manage administrative documents (electronic/hard copy) as needed
Ensure compliance to working papers policy
Provide live coverage of telephones (as requested)
Provide backup coverage to other departments as needed
Handle special projects as required
REQUIREMENTS
Candidates must have 4-5 years of experience in a fast-paced environment supporting executives

KNOWLEDGE AND SKILLS: " Outstanding administrative and organization skills; is detail oriented; is able to prioritize and multitask; follows through; demonstrates ownership through responsibility and accountability for end product; is proactive " Professional telephone skills " Strong typing and proofreading skills; and the ability to produce typed documents quickly and accurately " Demonstrated proficiency in MS Word and MS PowerPoint. Intermediate skills in Outlook and MS Excel; and the ability to learn other applications as required " Is able to anticipate and meet the needs of Partner(s), AP(s), and/or team(s) " Demonstrates effective interpersonal skills; exhibits a positive attitude; is able to build relationships within the office and other offices, client executives, and external vendors " Ability to work effectively in a fast paced, deadline-driven, high-pressure environment " Exhibits resourcefulness in problem solving " Maintains confidentiality and exercises solid judgment " Displays effective communication skills, both oral and written (timely, clear) " Is flexible to work overtime on short notice; occasional travel as required " Strong customer service mindset and style " Constructively delivers and receives feedback " Experienced in working in a collaborative team environment
