Chartered in 1746, and known as the College of New Jersey until 1896, it was British North America's fourth college.Position Summary: Princeton University's Office of Information Technology (OIT) seeks an Executive Assistant to join its Finance, Administration & Planning department. Reporting to the Associate Chief Information Officer, this position provides high-level clerical support and administrative services to the Associate CIO and five managers. Primary responsibilities include: - Managing the Associate CIO's schedule, including the scheduling of meetings, conference calls and the making of travel arrangements - Assisting the Director for OIT Human Resources and Administration in the support of various Human Resource related processes - Assisting the Manager of IT Training and Documentation in the administration of the IT Training and Registration Database, training room facilities and responding to OPM tickets - Coordinating meetings, informational and training sessions and assisting with logistics for various department functions - Organizing complex information in an easy-to-understand manner - Formatting PowerPoint presentations and drafting correspondence - Maintaining FAP Web pages and distribution lists - Maintaining and ordering office supplies, overseeing equipment service agreements and supplies, reporting and following-up on building maintenance needs - Maintaining conference/training room calendars - Receiving visitors, answering telephones, sorting mail, making copies - Serve as Telephone Coordinator, Desktop Technical Coordinator and on the OIT Facilities and Office Management cross-functional teamJob Function: Administrative or ProfessionalGrade: ADM 010Standard Hours: 36.25Eligible for Overtime: NoJob Requirements
Essential Qualifications: The successful candidate must have 5+ years of related experience working in an office environment. This position requires excellent computer skills and proficiency with Microsoft Office (Word, Excel, PowerPoint and Access), calendaring and e-mail (Outlook Exchange), and Internet research tools. The successful candidate must have excellent judgment and a high level of interpersonal skills to handle highly sensitive and confidential situations. Must be able to interact and communicate both orally and in writing with high-level individuals both inside and outside the University in a professional and accurate manner. The person in this position must also be able to prioritize and manage multiple competing tasks in a fast-paced environment with little or no supervision. Must be a quick study, flexible and adaptive, to the changing needs of an ever-evolving technology organization.
