Administrative Assistant to VP of I.T. & CIO
The Admin Assistant to the CIO effectively & professionally organizes & manages details for the CIO, including correspondence, phones, minutes, scheduling & other duties as assigned.
Responsibilities & essential job functions include but are not limited to the following:
Maintain & manage the Haggen voice communication plans, IT project related documentation including user manuals & the inventory of the Corporate Gift Card program.
Coordinate the I.T. related communication into the Daylights Saving & Holiday Planning communication to the stores.
Maintain accurate accessible filing techniques for hard copy & computer information.
Handles all incoming telephone calls & mail addressed to the CIO & manages the Outlook Calendar for the CIO (accepts/schedules meetings).
Facilitates identifying the training needs for the IT crew members & coordinates the scheduling of the training including travel arrangements.
Documents, distributes, then follows-up on decisions, action items & identified next steps from meetings.
Coordinates & schedules the FMI IT Share Group related activities.
Processes IT invoices & reconciles to services received, budgets & ensures they are coded to the appropriate P&L account.
Manages the loaner laptop, cell phone, projector, conference room audio/video equipment & Personal Digital Assistant (PDA) pool.
Schedules & facilitates the IT Department & the weekly managers meetings.
Provides first level support to the Corporate Office Crew Members for the MS Office Desktop tools (Excel, PowerPoint, Word, Outlook).
Manages & maintains the corporate directories.
REQUIREMENTS
4 years of secretary or administrative assistant experience w/college degree beneficial
Exceptional written & verbal communication skills.
Proficient with MS Office tools (WORD, EXCEL, ACCESS, PowerPoint, Outlook.
Strong organizational skills with ability to manage multiple priorities & meet stringent deadlines.
Proficiency in project management with ability to independently manage small to medium sized projects.
