In partnership with organizations such as the Discovery Channel and the Smithsonian Institution, Voyager provides proven and powerful curricula to America's classrooms.JOB PURPOSE:Assist Scheduling Supervisor by providing support in the process of scheduling and coordinating Voyager-facilitated training.
ESSENTIAL JOB FUNCTIONS:' Maintain the scheduling database calendar in Outlook by documenting information received via the Sales Associates, Directors, Project Coordinators, and district contacts.
' Create and maintain various spreadsheets on scheduled trainings and provide reports to Supervisor as needed. Spreadsheets include detailed and accurate information about districts/schools, curriculum, attendees, trainer information and revenue.
' Communicate the process requirements effectively with Sales, Customers, Support Services, and Consultant Trainers regarding training materials, equipment needs, and other logistics.' Review training models and time schedules for each product line and communicate to all parties as required. ' Maintain training information in VPORT and communicate customized or special training requirements to trainers.' Review training requests to confirm product (POs) and training purchases as it relates to shipping training materials and finalizing travel arrangements for trainers. ' Complete travel arrangements including airfare, hotel, and transportation, and provide information to trainers.
' Input training orders on eBackoffice for training materials to be shipped to the training site. ' Maintain tracking spreadsheet and monitor delivery of training orders and resolve any discrepancies. ' Maintain district files for all training classes.
' Complete additional projects and/or assignments as directed.
' Provide backup support in other areas of the department as needed.
REQUIREMENTS
QUALIFICATIONS:' Associate degree or better preferred
' Proficient in Outlook, MS Word, and PowerPoint
' Advanced Excel
' Five years experience handling multiple, concurrent activities
' Demonstrated ability to write and communicate accurately and effectively
