Basic Functions and Responsibilities: **Non-Exempt**Perform a variety of administrative duties within the office of Facilities and Property Management. Perform all purchasing functions for the division processing all purchase requests for supplies, equipment and services. Performance requires independent judgment and initiative in the execution of projects, which are often on-going and sensitive in nature.Process all purchase requests for the division through PeopleSoft, monitoring flow to placement of order to delivery of product/services. Continually monitor payments against POs, interfacing with Accounts Payable, management and divisional budget analyst.Process all capital project purchase requests, maintaining a log while monitoring expenditures against budget and PeopleSoft reporting. Provide support to Senior Facilities Manager on an ongoing basis.Process all contract purchase requests, maintaining a log while monitoring expenditures against budget and PeopleSoft reporting. Work closely with budget analyst to monitor any changes in terms or payments of contracts.Compile and submit reports to Corporate Security and Environmental Management as required, such as recycling reports and sewage discharge monitoring reports.Audit purchase requests and purchase orders placed for Facilities to ensure coding is accurate. Notify Supplier Management and Budget Analyst of required changes.Manage the Facilities Survey process for all shops, processing two surveys to select groups on a periodic basis. Compile reports and data for analysis by management.Maintain, log and update all electrical and mechanical blue print files.Act as resource person for PeopleSoft processes and procedures.Respond to property management calls and inquiries in a professional manner, providing the appropriate information or referring the inquiry to the appropriate party to provide a satisfactory response.Facilities and Property Management provides services to all ETS staff and business partners helping to insure product delivery to ETS customers. Staff may need to crossover during emergency situations to assist in non-related fields of work.Be cognizant of the financial implications in performance of duties and responsibilities, making recommendations for cost savings when applicable and notifying appropriate personnel when significant variances occur.Use Facilities Center, PeopleSoft, MicroSoft Office and other corporate systems to maintain employee time records, performance management, work orders, purchase requisitions, purchase orders, budgets, vouchers and communication.Increase customer satisfaction by increasing speed of service, lowering costs to the customer, and improving customer relationships. Work with peers and other department staff to demonstrate effectiveness in the team environment. Encourage improvement and efficiency in other employees.Respond to property management requests and resolve problems by interacting with one or more of the following groups: Facilities staff, tenants, systems staff, supervisors, managers, candidates, vendors, external clients, etc.Ability to understand and use the PeopleSoft system, Microsoft Excel and Word, and Facilities Center work order system, providing reports as necessary for analysis.Ability to interact courteously and efficiently with all levels of staff and the public to provide information and resolve problems is required.Ability to type and proofread material to produce documents and ensure correct grammar, spelling, and punctuation is required, as well as accurate figures and calculations.Math and accounting skills necessary to understand capital versus expense, accruals, cash flow, depreciation, amortization, budgets, forecasts and variance statements.Ability to understand and carry out oral and written instructions, while working independently, to perform duties effectively is required.Ability to organize, set priorities, and process information on a daily basis and adapt to an atmosphere of constant interruptions in order to perform efficiently.Apply Info: Internal:Please send cover letter and resume to Renee Brown at MailStop 02-D or e-mail to [Click here for email]. REQUIREMENTS
Education: An Associate?s Degree with course work in business management, accounting or a closely related field or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired as necessary.Experience: Four years of progressively administrative experience is necessary.Three years in a Facilities services environment is preferred.Licensed Notary preferred.Proficient with Word, Excel, and PeopleSoft.
