Business Office Manager
The Business Office Manager is responsible for the management of services critical to the financial requirements to operate Westwood College. The Business Office Manager organizes, supervises, and directs the activities of the Business Office staff and is responsible for assisting, designing and implementing programs that foster correct accounting principles to ensure a strong financial base for operation. The implementation of fiscal budgets is the responsibility of the Business Office Manager. As a member of the College Management Team, the Manager must plan and coordinate the department’s activities with those of other departments to assure success in all aspects of College operations. The Manager is responsible for preparing a departmental financial forecast and controlling direct cost expenses to the forecast through departmental purchasing authority consistent with company policy.
ACCOUNTABILITIES
•TECHNICAL OPERATIONS AND SKILLS:•Provide technical operations and skills to ensure a 97 % compliance to accounting policies and procedures.
•DIRECT COST CONTROL:•Performance is successful when actual departmental term costs is not more than 2% over term forecast expenses.
•STAFF MANAGEMENT AND DEVELOPMENT:•Performance is successful as determined by appraisal of established performance expectations and objectives.
•PLANNING, ORGANIZING, CONTROLLING, AND REPORTS:•Performance is successful as determined by appraisal of established performance expectations and objectives.

PERFORMANCE EXPECTATIONS
•TECHNICAL OPERATIONS AND SKILLS:•Responsible for supervision of all Business Office procedures and traffic including accounts payable, accounts receivables and student records.
•Responsible for supervision of Business Office personnel, secutity and procedures.
•Ability to substitute in all areas of Business Office expertise, such as bookkeeping, accounts receivable, accounts payable, and student records.
•Responsible for managing accounts receivables. Ensures timely payments manages collection process for late payments.
•Maintain fiscal records and reports on weekly, monthly, yearly and “as needed”.
•Conduct financial audits as deemed necessary.
•Assist in the development and implementation of yearly fiscal budgets.
•Responsible for ensuring student records are compliant with all regulatory agency requirements.
•DIRECT COST CONTROL:•Prepare term forecast of departmental expenses for Executive Director/President’s approval within guidelines established for submission.
•Monitor actual expenses as appropriate through departmental purchasing approval authority.
•Identify and report to Executive Director/ President on special departmental expense needs or opportunities.
•STAFF MANAGEMENT AND DEVELOPMENT:•Establish and communicate accountabilities and performance expectation for all direct reports.
•Establishes and monitors career development plans for subordinates.
•Assure that all staff under direct reports have established and communicated accountabilities and performance expectations.
•Conduct performance appraisals on time so that no retroactive payroll submissions are required.
•Identify needs and promote both in-house and off-site training for direct reports to foster their personal and professional development and growth.
•Be cognizant of the Colleges EEO objectives and select staff with objectives in mind without sacrificing the integrity or quality of the selection process.
•Establish standards and serve as a role model for department and College employees for attendance and professional attire and appearance.
•PLANNING, ORGANIZING, AND CONTROLLING FOR RESULTS:•At least annually, evaluate staffing levels, divisions of responsibility, and organizational structure with respect to the number of potential recruits and marketing activity.
•Establish periodic progress reports to assure results are monitored and corrective action applied to maintain acceptable results.
•COMMUNICATION:•Participate in Management Team meetings to stay aware of the activities of other departments.
•Share meeting notes of own departmental meetings with other department heads to maintain awareness of actions and planned activities.
•Participate in preparation of the Colleges annual operating plan and report and identify areas where cross-departmental assistance is necessary or appropriate.
•Assure departmental representation as appropriate on College task forces and teams.
•Participate in Alta Colleges system-wide meetings, as directed to gather information and provide perspective to issues and plans of a national nature.
•Actively seek ways to provide assistance to other departments in achieving operating objectives not necessarily under direct control or accountability.
•Identify ways other departments may assist in meeting ACCSCT accountabilities and solicit support to gain assistance.
•Promote a positive image and attitude in department staff toward operating objectives established by Alta Colleges, Westwood College and other departments, including positive attitude toward all company employees.
•Demonstrates open lines of communication with subordinates by facilitating effective staff meetings and one on one discussions.
•Disseminates corporate/school related information in a timely manner with positive outlook and approach.
REQUIREMENTS
EDUCATION AND EXPERIENCE
•EDUCATION•Bachelor’s Degree is required.
•EXPERIENCE•2 years previous experience working in all aspects of accounting, to include AR, collections, and bookkeeping. Experience with Federal grants and loans preferred. Previous supervision experience required. Reliable and trustworthy.
