Project Administrator
responsible for the general administration of projects from order entry to purchase order placement, shipping and invoicing, including coordination of project related technical documentation.
1.Enter the project sales orders along with the sales budget into accounting system.2.Maintain the project sales order through out the life of the project.3.Set up, maintain and monitor project documentation files for each project as required, i.e.: change orders, production, purchasing and shipping schedules, shipping and revenue/sales forecasts, project books, and QA/QC and ES&H files. Ensure that deviations to schedules and forecasts are brought to the attention of the project and engineering manager.4.Item master database maintenance.5.Prepare project costing in support of invoices as instructed by Project Management and in coordination with Accounting.6.Update project sales orders / sales budget to reflect change orders and current project status in coordination with Project Management and Unit Accounting.7.Monitor and track progress of project required technical documentation to ensure the appropriate documentation is collected, and on time delivery is insured in coordination with Project Management, Project Engineering and Purchasing (for vendor related information).
REQUIREMENTS
1.The position requires an Associate’s degree in a technical field; minimum of three years related experience and/or training; or equivalent combination of education and experience.2.Administrative support background in a projects-related situation. Equipment manufacturing background or knowledge preferred or desirable. Familiarity with a variety of field concepts, practices and procedures OR has knowledge of commonly used concepts, practices, and procedures within this field.3.Technical writing and business communications skills at a variety of levels such as equipment vendors, contractors/sub-contractors, engineering companies, in-house staff, client and owner.4.Proficient in Microsoft Office software applications (Word, Excel, PowerPoint; preferably Projects and Access as well) as well as Adobe Acrobat. Familiarity with Internet research.5.Organized, self-starter, strong initiative, typing/computer skills required. Able to prioritize and continue to deliver a high level of performance and accuracy under pressure and deadline requirements at times.6.Ability to work well with various levels of the organization as well as clients, owners, engineering companies, contractors/sub-contractors and vendors.
