Job Responsibilities:
DESCRIPTIONCustomer Service RepresentativeExcellent telephone communication skills are essentialThe Customer Service Representative is responsible for operating a computer keyboard to input alphabetic and numeric data from source documents. The performance of clerical related tasks such as light typing, photocopying and interoffice errands can be anticipated.Handle a high volume of incoming calls. Respond to inquiries from customers and sales representatives regarding placement of orders and, analyze individual situations, and take appropriate action to ensure customer needs are met. Coordinate activities with internal company departments. Expedite orders and requests for literature. Provide necessary follow up efforts and prepare customer phone orders.Responsible to review orders, change requests, and adjustment notifications prior to the entry function. Prepare and proof read information and approve for entry.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Compile, sort and verify accuracy of data to be enteredEnter alphabetic, numeric, and symbolic data from source documents into the system following format displayed on screen or as departmental procedures.Entry of corrections, changes and adjustments as per directives.Answer incoming phone calls concerning orders (pending and new), shipping and inventory inquiries. Professional telephone presence required. Immediate attention to incoming calls (preferred answer call pick up time 9 seconds).Strive to provide ‘same day service' in all customer needs (returning calls, follow up within 1 hour). Responsible for making immediate changes upon receipt of customer notification on existing orders.Prepare requests for proof of delivery, claims, and credit documentation to be forwarded to appropriate departments.Review documentation thoroughly and prepare for accurate entry.Ensure all preparation efforts are completed prior to data entry.Make all necessary changes and additions to paperwork i.e. customer ID number, accurate information, key terminology/coding references, and coordinate all in-house paperwork
REQUIREMENTSQUALIFICATIONSTo perform this job successfully, an individual must be able to perform each duty and responsibility satisfactorily. The listed requirements are representative of the knowledge, skill, and/or ability required. Reasonable accommodations may be made to enable individuals with disabilities to perform the duties and/or responsibilities.
Capability to handle high volume data input and activity. Excellent key stroke (15,000kph) skills required. Experience with AS400 systems, Baan, ERP helpful.MS Windows, MS Office (Word, Excel) required. Strong numeric and mathematical aptitude and keen attention to detail. Knowledge of use of 10 key calculator. Ability to manage high volume incoming calls. Excellent telephone communication skills are essential. Clear enunciation and professional phone presence mandatory. Excellent spelling and grammar. Knowledge of Microsoft Access a plus.EXPECTATIONS
