Senior Hoteling Representative

KPMG LLP is the audit, tax and advisory firm that has maintained a continuous commitment throughout its history to providing leadership, integrity, and quality to the capital markets. We are currently seeking a Senior Hoteling Representative to join us in our New York office.
Responsibilities:

Lead and direct staff. Coordinate and monitor workflow, professionalism, office and department policies and special projects. Monitor and address service deficiencies and attendance

Oversee the utilization of available work and meeting space to accommodate hotelers

Enter and confirm accurate reservations in software system

Approve reservation cancellations, when appropriate, in accordance with the New York Metro Hoteling Policy

Greet personnel, answer questions and direct them to reserved work or meeting space

Troubleshoot incoming complaints regarding phone problems and Hoteling reservations

Confirm workspaces, conference room reservations, file drawers and equipment logs and help ensure they are up-to-date

Provide back-up support for other Senior Hoteling Representatives

Assist Hoteling Services Area Manager with various administrative tasks utilizing knowledge of Microsoft Excel, Word and PowerPoint

Oversee Audio Visual equipment, conference setups, catering and special supplies

Coordinate Service Center scheduling to help ensure coverage on other floors

Oversee maintenance of copy and fax machines on floors through floor maintenance log books

Receive and maintain photocopier toners

Order, receive and maintain printer toners for floor printers

Train new Hoteling Services personnel

Compile and maintain inventory of supply orders that correspond to Service Centers within the New York office

Manage and maintain overtime schedule

Responsible for on-line ordering of Office Max office supplies

Assist in administering new data for reports

Update data in the Hoteling software and compiles information for utilization reports

Handle customer service complaints and escalate as necessary

Liaison between service centers and Conference Services

Coordinate moves with facilities personnel

Offer training of Hoteling Software to new hires
Job Requirements
Qualifications:

Five years of customer service and telephone experience and one year of supervisory experience in a fast-paced, high-pressure environment

Intermediate level knowledge of Microsoft Word, Excel, Outlook, PowerPoint and Hoteling Software

Ability to exercise good judgment; work independently and as part of a team

Resolve problems at the mid-level

Strong initiative and leadership skills

Ability to effectively communicate with staff and leadership

Able to lift, move and set up small conference tables
