General Summary
The Office Administrator is responsible for the development of tactical, strategic and day-to-day administrative initiatives in the Chicago office. This individual is accountable for the successful development of standards and procedures and their integration with the companys operating plan to maximize administrative efforts, and ensure exceptional assistance to the EVP of Marketing and Sales, the President and CEO, and the Marketing team. Supervises an administrative professional staff.
Responsibilities include directing the administrative activities for the Marketing and Sales team and the President to provide a clear pathway for their deliverables within the Company and communities that SBLI USA serves.
Major Duties and Responsibilities
Manage the administrative effectiveness of the Chicago Office. This includes coordinating all coverage and team schedules which ensures that team members have the administrative support needed.
Coordinate and partner with the NY Office Manager to ensure administrative effectiveness of the President and the Office of the President, which includes calendar management, travel, transportation, accommodations, speeches and meetings both personal and business.
Create and manage the overall strategy around phone management, calendar, meetings, and the appearances of the EVP-Marketing and Sales and the Marketing Team.
Coordinate with Facilities and IT group to ensure proper set up of all Associate/Manager/Officer meetings.
Coordinate with Travel Manager to ensure that all travel and transportation for the Marketing group is handled in a timely and efficient manner.
Assist VP-Community Relations in facilitating Wellness/Associate programs and events in the Chicago office, as well as managing other projects and duties as assigned.
Manage and direct a variety of short and long-term projects simultaneously.
Build and enhance relationships with key professionals and business partners that serve in key leadership roles in SBLI USA and the Community at large.
Work closely and effectively with the Board of Directors and Advisory Board.
Assist with Board Meetings, Company, Corporate and Marketing Events and Travel, as required.
Perform other duties as necessary.
REQUIREMENTS
Minimum Qualifications
High School diploma or college degree
Minimum 5-7 years experience assisting high level executives
Supervisory skills required
Extremely strong communication and interpersonal skills
Must be proactive and flexible
Ability to maintain confidentiality
Ability to "think outside the box"
Strong typing and computer skills in Word, Excel, PowerPoint
Excellent spelling and grammar, writing proficiency, and phone skills
Detail oriented, energetic, and able to handle a varied workload
Ability to perform duties with minimal directions, meet deadlines, and multi-task. Must work independently and as a team player
Polished and professional demeanor
Must be firm yet cooperative.
