Legal Office Administrator

Office Administrator will work closely with Division VP, Legal Intellectual Property Litigation. Responsibilities involve a broad range of administrative tasks. This position
will act as the primary liaison with reporting staff, executive-level administration and Divisions. Heavy telephone contact ensuring Vice President's
phone is covered at all times. Will have access to sensitive corporate and employee documents and must exercise the highest degree of
discretion and ethical behavior. Must be able to make administrative decisions on behalf of the Vice President.
Communicate, write, advise and guide area administrative assistants on job responsibilities, including responding to executive requests.
Maintenance of case files and matters. Schedule meetings, coordinate agendas, and secure pre-reading, reports or studies. Will independently
review incoming correspondence of the Vice President, generate all outgoing correspondence and presentations including editing, proofreading,
reproduction, printing, collation, and binding. Prioritize and complete special projects and assignments, exercising frequent independent judgment,
initiative, and tact. Coordinates and organizes travel arrangements, coordinates the implementation of corporate-wide programs (APEX, PEx, etc.).
Prepares Mercury reqs., ACR's and expense reports. Will coordinate the hiring process of support staff, will maintain personnel records, will handle
staff-related issues (e.g., training and interpersonal relations), will assist with writing annual growth plans of support staff. Hours: 8-4:50 daily (M-F).Qualifications
Must have 5 years of relevant experience, two years should have support of a Director/DVP. Must possess demonstrated strong writing and editing
skills, exceptional organizational skills, and ability to multi-task, meet deadlines and to work with minimal supervision. Ability to interface with
senior-level decision-makers, both within client organizations and internally. Must possess the talent to work in a high stress environment. Excellent
communication skills, both written and verbal, are essential. Ability to coordinate and manage multiple projects simultaneously. Must be proficient in
computer skills utilizing Word, Excel, PowerPoint and lotus notes.
High School Diploma with 7 years secretarial experience. Preferred Education: College degree with 3 years secretarial experience within a legal department.
