JOB TITLE:DESTINATION SERVICES REPRESENTATIVE

DEPARTMENT:DESTINATION SERVICES MANAGER

MAJOR FUNCTION:
To provide services to conventions, meetings, trade shows, sports shows and events booked in Kissimmee. Works with meeting and event planners to determine servicing requirements and other support needed by the organization and attendees. Communicates and coordinates with local service vendors.

ESSENTIAL JOB FUNCTIONS:

Establishes contact with convention & meeting planners who have booked groups in to the area; send a service promotion package to planners; maintains routine written, telephone and personal contact with clients; maintains client files and client database information. Acts as a liaison between the meeting planner and service partners; offers suggestions and assistance planning entertainment, tours, shopping, spouse and children’s programs and other attractions; solicits and collects information for all service files. Works with convention groups to help promote their meetings. Provides information to the public relations department so they can send information about upcoming meetings, conventions, and events to local newspapers and visitor centers. Visits each convention/meeting/event when services have been utilized. Attends and organizes pre- and post-event meetings with planner and appropriate vendors; provides post-events evaluations and/or surveys to determine the success of the event and shares results with all members that are mentioned. Retrieves reports and queries and updates post-convention reports in Destination Marketing Association International’s Meeting Information Network (MINT).
Performs Housing Bureau duties such as: inputting hotels, room blocks and rates for each event; monitors room blocks and alerts appropriate parties when adjustments need to be made; maintain communication between the event planner and hotels; sends reservations, changes and cancellations to hotels, sends reservation acknowledgements to attendees; and assists with pulling appropriate reports utilized for invoicing. Assist with on-site event management.
Travel to conventions/events may be required. May direct staff as necessary.

KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of techniques of effective verbal communication. Knowledge of the tourism and travel industry. Computer literacy and demonstrative PC skills. Ability to travel as required to effectively service events. Ability to deal with the public in a tactful and courteous manner.

MINIMUM QUALIFICATIONS:
Bachelor’s degree in Public Relations, Marketing or Hospitality related field. Two years experience in event/meeting services and/or support. (A comparable amount of education, training and experience in the hospitality/tourism industry may be substituted for the educational minimum qualification.) Possession of a valid FL Driver’ s License.

PHYSICAL DEMAND REQUIREMENTS:
Physical Demand: Medium
50 pounds maximum lifting.
Frequent (up to 2/3 of the work time) lifting, carrying up to 25 lbs.
Expressing or exchanging ideas by spoken word or perceiving sound by ear.
Good eye sight for protection or safety of self and others.
Physical demand requirements are in excess of light work.
REQUIREMENTS
