DRIVER SERVICES REPRESENTATIVE/BEAVEX
Summary
Effectively handles sourcing, screening, and contracting with Vendor/IC drivers. Responsible for documentation, record keeping, on boarding, and CourierBase management. Coordinates with terminal management and Corporate IC Liaison regarding proper Vendor/IC procedures and weekly settlement processing or issues.
Responsibilities:
Vendor/IC Relations
Coordinate with Corporate to process settlement on a weekly basis; maintain correct budgeted settlements in CourierBase and input exceptions and codes as appropriate.
Work together with management to ensure business needs are met by effectively contracting with Independent Contractors.
Evaluate qualifications or eligibility of applicants to contract driving services for Beavex by verifying the validity of motor vehicle reports, drivers licenses,insurances, background checks, W-9, registration, etc.
Prepare and issue identification badges to Independent Contractors.
Operations / Customer Service
Confer with customers, supervisors, contractors, and other personnel to exchange information and to resolve problems on a daily basis.
Respond proactively to customer inquiries and/or complaints to create a positive experience for the customer.
Communicate with terminal management and corporate IC Liaison to resolve Vendor/IC issues.
Perform audits to ensure Vendor/IC's are completing routes as required by Beavex customers.
Promote safe work activities and attend company safety meetings.
Ensure that the policies and procedures as defined in the Company Operations Manual and Employee Handbook are consistently followed.
Other duties/tasks as assigned.
Technology
Implement CourierBase software by maintaining up to date and accurate driver profile information such as: contact information, insurance, license, registration, and deductions.
Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers.
Utilize electronic mail, telephones, CourierBase software, scanners, and other communication tools effectively on a daily basis.
Demonstrate or explain use of equipment, technical devices, scanners, palms, computer software, etc.
Administrative
Utilize Beavex software (CourierBase) to maintain records, reports, or files regarding independent contractors, customers, routes, settlement, deductions, etc.
Manage inventory of office supplies and Vendor/IC uniforms, making orders when needed.
Send Corporate the paper files for Vendor/ICs.
Uphold proper procedures upon notification of Vendor/IC termination, such as entering accurate termination data into CourierBase, faxing termination form to corporate, ensuring all equipment is returned, checking Nextel coverage, and verifying last settlement check is sent.
Prepare, compile, analyze, and submit reports on work activities, operations, service, and work-related accidents.
Answer telephones, direct calls and take messages.
REQUIREMENTS
Education, Experience, and Skills:
High school diploma or GED required
Associates degree or other vocational/technical school training beyond high school strongly preferred
2-4 years of customer service / administrative work experience
Experience in logistics/transportation industry a plus
Knowledge of the structure and content of the English language
Computer skills including: Microsoft Word, Excel, Outlook, PowerPoint, and Access
Strong organizational and analytical abilities
Knowledge of administrative procedures and systems
Knowledge of principles and processes for providing customer service
Excellent verbal and written communication skills and mathematical aptitude
Handle light lifting on occasion
Travel Requirement: 0 - 5% - Minimal travel required, if any.
