Clerkship Coordinator
Prominent downtown hospital looking for Clerkship Coordinator. Responsible for the day-to-day management of the residency program and its approximately 185 medical students who rotate through the required Emergency Medicine Clerkship annually. Duties include: distribute and collect textbooks, take digital student photos and create photo index; prepare and update monthly student rotator online schedule; process schedule changes and requests for extramural or special credit; collect and organize student evaluations and course materials for review by clerkship director; transcribe and prepare final evaluations; prepare residency recommendation letters; maintain Access database of grade information and generate reports; maintain all program files; screen and process visiting medical student applications and communicate program changes and updates to the national emergency medicine website (SAEM).
Clerkship: Educational Meetings & Exam Management
Responsible to coordinate monthly program orientations and weekly didactic lectures; post and update program information to Blackboard; proctor monthly core examinations, submit exams for electronic scoring, and maintain exam reports; annual Emergency Medicine meetings for prospective second, third, and fourth-year medical students. Responsible to schedule lecturers, reserve conference room space, audio-visual equipment, catering, prepare and photocopy lecture materials, monitor lecture attendance, and coordinate makeup lectures.
Clerkship: Physician Shadowing Schedule
Each month prepare and maintain physician shadowing schedule for Emergency Medicine Club first and second-year medical student members. Responsible to correspond with the medical students and attending physicians to coordinate shifts; provide introductory information about shadowing program to students; monitor and maintain the schedule and problem-solve issues that arise.
Clerkship: Documenting Faculty Participation
Record all emergency medicine faculty participation in the clerkship program for use in professional development, promotion process and financial support of the program. Activity from orientation core and didactic lectures, skills workshops (ICC), specialty meetings, educational module development and student advising are recorded. Responsible to maintain the total number of individual faculty hours contributed annually; maintain a portfolio of educational module materials, faculty teaching evaluations, and summaries of student feedback.
Clerkship: Accounting
Order and maintain all program supplies, equipment and services--reconcile these expenses against budget monthly via CUFS Accounting System and maintain Excel expense spreadsheet. Maintain hardcopy files of all program expenses initiated, review spreadsheet with department administrator each month, and resolve encumbrances, vendor payments, etc. as they arise during the fiscal year.
Clerkship: Website Support, Design and Development
Review and maintain program-specific content on the clerkship link under the department's main website. By clerkship administrator maintaining a thorough understanding of the clerkship educational experience, work to anticipate needs and provide suggestions on further enhancements to the website.
Special Projects:
Work with the DA on various special assignments that may or may not involve the clerkship program affording the the clerkship coordinator the opportunity to interact with emergency medicine faculty, other staff members or departments. Examples include: desktop publishing/annual report and newsletter, website design, accounts payable, financial reporting and organization, policy writing, and operations.
REQUIREMENTS
At least one year experience in hospital setting required.
