Implementation Project Coordinator
Gelco Information Network is a leading provider of comprehensive outsourced services for travel expense management and trade promotion management solutions for consumer goods manufacturers. Gelco has an immediate opening for an Implementation Project Coordinator at our Headquarters in Eden Prairie, MN.
Position Statement:
The Implementation Project Coordinator (IPC) is a single point of contact providing pre-installation and implementation support for new client services. The IPC role provides detailed needs assessments, service definition, identify up sale opportunities, and system configuration needs for Expense clients. The IPC will develop and manage client projects within the scope of implementation needs. The IPC is accountable for delivering projects on time, within budget, and within the project scope.
Essential Functions:
•Manages all elements of implementation tasks that include detailed needs assessment, service definition, expense report design, account profile development, and pre-installation tasks. Provide account with clear communication regarding the roles of each individual involved in the implementation.
•Based on needs assessment, develops implementation project plan, including but not limited to setting of objectives and deliverables, budgeting, scheduling, tracking and reporting from concept to release. Assigns tasks and plans deadlines to meet the account service timelines.
•Collaborate with PMO Director to develop and to continuously improve project management processes.
•Makes recommendations to clients based upon needs and standard service available within Gelco Expense Management product line. Identifies up sale opportunities such as training, custom services and refers appropriately to an Expense Account Manager.
•Ensures the Technical Survey is complete and submitted to Gelco by client.
•Coordinates with the client to define all policies and procedures related to Gelco service and accurately completes an overview of requirements for the client project plan for the Account Implementation Coordinator (AIC) in order to facilitate the installation of the account.
•Communicates the details of the account installation to each Gelco department, as it pertains to their workflow. Updates Gelco’s tracking system.
•After the start of the program, verifies with the AIC that key processes are working to ensure program was set up as specified.
•Negotiates and resolve issues and concerns between the client and Gelco departments regarding installation activities. Keeps Sales Managers, Account Managers and Implementation Management informed of account definition and installation activity.
•Conducts evaluation of the account setup with the client and AIC to ensure changes are processed accordingly.
•While partnering with AIC, provide training and assistance to clients to ensure completion of the client tasks and issue resolution. Ensures client and internal Gelco department’s completion of tasks, within the project plan, by the scheduled date.
•Provides input to Implementation Management on client issues, implementation delays and weekly/monthly reports as defined.
•Participates as required in solution teams to ensure project and implementation processes are defined and incorporated for new and enhanced services, as defined.
REQUIREMENTS
Special Skills Required to Perform Essential Functions:
•Bachelor’s degree with course work in business, communication, accounting and/or marketing.
•Must have a minimum of two to four years work experience in one or more of the following business areas: software sales, customer service, or banking.
•Must have 1-4 years of project management experience; prefer project management lead experience.
•Must have experience in leading cross-functional teams.
•Must possess excellent written and verbal communication skills, negotiation and organizational skills.
•Must possess strong facilitation, negotiation, and conflict resolution skills
•Ability to work in a fast-paced environment, handling multiple priorities.
•Must have working knowledge of Microsoft application software (i.e., Word, Excel, Project).
•Ability to communicate with individuals at all levels of an organization with the ability to escalate issues to various levels within an organization.
•Ability to set priorities, meet deadlines, work independently.,
•Demonstrated reliability along with the ability to drive for results
•Ability to work in a team environment and be open to change.
•Must be detail-oriented and accurate.
•Educated on current travel and expense practices within the marketplace as it relates to defined market for Gelco strategic initiatives
Job Specifications:
Job requires working on a personal computer an average of 6 hours per day.
Job requires frequent communication via telephone, e-mail and facsimile.
Job requires travel for client meetings.
Job requires flexibility in scheduling to meet client expectations.
