PURPOSES OR FUNCTIONS:

The position of Construction Documentation & Purchasing Coordinator has three primary responsibilities. They are as follows; to assist in setup and maintenance of documentation related to projects; to assist in sourcing and obtaining competitive pricing as well as ordering construction materials and supplies; and general organization & operational functions of a developer – construction company.

QUALIFICATIONS:

? A minimum of two years plus experience in an office construction environment.
? Highly organized with an understanding of deadlines, priorities & problem solving.
? Positive & persuasive personality.
? The ability to read, write, and speak the English language efficiently.
? The ability to communicate both written and in oral form with others
? The ability to use a desktop PC with a thorough working knowledge of Microsoft Windows PC applications.
? The ability to work as a team member with other employees & departments.
? The ability to set up & operate a digital camera and all of its functions.
? The ability to lift 35 lbs.
? Must have a valid Illinois driver license.








JOB EXPECTATIONS:

Each individual is required to have and share the same knowledge within the division in relation to their position. They will interface on a daily basis with most of the construction personnel as well as individual administrators and upper management. This individual will work daily in person and on the phone with outside vendors, consultants & businesses. Therefore, great communication is essential.

JOB RESPONSIBILITIES:

? Having a complete and thorough knowledge of the development & construction division’s format, protocol, and process.
? Input information into various tracking systems; spread sheets, budgets, time sheets, invoicing, cost tracking, etc.
? Maintain database of vendors, contacts, numbers, unit prices, etc.
? Setup & input information related to scope development & budgets for each project.
? Verify, input and maintain clear and concise documentation of time sheets, purchase orders, contacts, costs, invoicing, etc. into the cost tracking software and other related software for each project.
? Obtain and maintain information related to permits, bonds & licenses for each project.
? Maintain an up to date inventory of materials and equipment.
? Assist in the set up and maintenance of the safety program.
? Record and document the minutes of weekly construction meetings.
? Maintain and record the use of tools and equipment as required.
? Assist in overall organization of department and project related information.
