Exhibits Coordinator North American Exhibits DepartmentPosition Description
Schedule and manage planning meetings for U.S., Canada and Puerto Rico trade shows; coordinate participation by Field Marketing, Product Marketing and Promotions staff; establish show goals, objectives and metrics, and lead discussions on strategic messages and themes and related trade show marketing activities including pre- and post-show direct mail, advertising and in-booth promotions.Responsible for all trade show logistics including, but not limited to, ordering booth space and show services, on-site coordination and management including supervision of all union and non-union vendors, AV set-up, booth layout, product display, and special in-booth promotions. Other duties as assigned include housing coordination, and invoice processing and reconciliation.Document the success of trade shows through analysis reports and make recommendations to improve trade show presence, processes and procedures.Establish schedule of deadlines for all show related activities; assign ownership to appropriate participants, and follow-up through completion of each activity to ensure deadlines are met.Coordinate production of trade show graphics to meet standard formats; coordinate with internal departments to secure photography, copy and other graphic design elements; work with photo lab and exhibit house vendors on production to ensure quality product, delivered on time and within budget.Complete show services paperwork and prepare Millipore financial paperwork to generate prepayments. Track expenses and provide budget recommendations.Prepare and distribute pre-show memos to all attendees; prepare and distribute support documentation required for on-site set-up and dismantle by field personnel.Data entry of shipping orders for each trade show, using trade show database for inventory management of exhibits and product property.
Education and Experience RequirementsB.S. in Communication Arts, Business Management or Sales and Marketing4-5 years trade show experience in planning meetings and trade shows, preparing services paperwork, supervising on-site set-up and tear-down, and managing all union and non-union vendors including shipping and graphics production.Ability to determine strategic sales and marketing based show goals and objectives, and implement strategies to achieve high performance, based on specified, appropriate metrics.Strong budget management skills.Strong PC skills in Microsoft Word and Excel; Lotus Notes experience a plus.Must be detail-oriented; accuracy and thoroughness in all documentation is required.Ability to work both independently and in a team, manage multiple projects at same time, and meet project deadlines.Strong communication skills (written and verbal). Ability to interact and communicate with all levels of management.Creative problem solving ability.
