Business Office Manager
Focus Healthcare at Highpoint is part of the Focus Healthcare Complex. It is centered on Six wooded acres surrounding a small lake. High Point is a residential recovery program that surpasses traditional chemical dependency treatment approaches. Highpoint is a 26 bed, full service chemical dependency facility serving adults. We ofer a safe haven where our patients have the opportunity to heal and reconstruct their lives into healthy, happy productive and fulfilling experiences. High Point Offers four Levels of Treatment:
1. Inpatient, medically supervised detoxification
2. Inpatient Residential
3. Partial Hospitalization
4. Intensive Outpatient rehabilitation.

JOB SUMMARY:
Serves in a supervisory role in addition to performing specific tasks related to Business Office operations. Responsible for the workflow, communications, departmental records, statistics and resources for the Business Office. At the discretion of the Administrator or CFO will be assigned to any special projects/reports. Proceeds on own initiative in compliance with policies, practices and procedures per Director.
Recommends to and assists the Administrator in the development of Business office practice management by contributions in preliminary discussions/initiative and doing required background research.
Recommends to and assists the Adm./CFO in the development and drafting
of administrative policies and procedures as required.
Coordinates with other facility interdepartmental staff (i.e., physicianbilling, H.I.S., Business Office, Financial Planning, etc.)to assure compliance with their standard operating procedures. Recommends modifications proactively.
Develops procedural event codes and descriptors which are utilized forpurposes of billing and monitoring the treatment services provided.
Develops/revises departmental forms by analyzing the projected uses of the forms, interpreting how the information should be collected, and preparing a draft which is easily understood and simple to use.
Responsible for payables to vendors and monitors day to day payment requests.
Responsible for the supervision of collections and identification of benefit problems related to patient days.
Staff Supervision
Provides the direct and indirect supervision to the office assistants within the department in concurrence with the Administrator or designee.
Effectively recommends in the recruitment and selection of office assistant personnel.
Orients and trains new office assistant personnel to department policies and procedures.
Monitors the front office assistants in the performance of their routine daily tasks, and provides timely, constructive feedback per facility personnel policies.
Prepares monthly time schedule for the office assistants and confers with the Administrator to ensure that the prepared schedule is in coordination with the department schedule.
Responsible for preparing and presenting the probationary and annualevaluations to the office assistants which are reviewed by the Administrator or designee.
Effectively explains and interprets current organizational policies and procedures to the office assistants.
Will perform clerical duties of the Business Office assistant, as needed.
Administrative Duties
Reviews with the Administrator the monthly ledgers and variance reports to assure compliance with the projected monthly/annual budget.
Secures all supplies necessary for the operation of the department with the approval of the Director.
Monitors the supply inventory of facility.
Routinely performs Collection report as scheduled.
Accountable in directing and monitoring flow with the office secretaries/assistants. Coordinates with other departments to ensure that clients are processed quickly and efficiently.
Promotes good working relationship among staff and between other departments and corporate agencies. Provides leadership in terms of office staff morale.
Verifies, compiles and presents monthly work-load volume statistics to the Administrator within a designated time frame.
Prepares or coordinates provision of operations and financial reports to the Administrative Team for the purpose of evaluating unit performance.
Develops and maintains current library of global and capitation contracts, provider manuals, and related material.
Exhibits professional conduct in the provision of patient/customer relations.
Maintains confidentiality of patient information.
Works cooperatively with co-workers, physicians, and supervisor.
Displays ability to adjust to flexible work schedule and client volume that may be required.
Accepts and implements administrative/medical changes and decisions as directed.
Accepts responsibility for own actions and decisions.
Flexible to assignment changes as needed to cover departmental needs.
Contributes to the maintenance of a quiet, safe, pleasant and orderly work environment as observed by the supervisor.
Presents a positive reflection of Focus Helathcare as observed by the supervisor by greeting people cheerfully and assisting patients or customers with a positive attitude.
Participate and adheres to Corporate Compliance Program at Focus Healthcare at High Point.
Attendance and Punctuality

Complies with facility and departmental policies
with respect to tardiness. Always reports to assigned
work area at scheduled time.
Adheres to time allotted for breaks and
meals and returns to work at designated times.
REQUIREMENTS
Two years of College of Business School, Bachelor’s Degree preferred but not necessary.
2.Ability to type and transcribe accurately at a speed of 50-60 wpm.
3.Knowledge of medical terminology and ability to accurately record payables, receivables, collections and data related to operations of facility.
4.Five years Business Office experience preferred with at least two of those years involving healthcare office management and supervision of subordinate personnel.
5.One year of experience in a Billing practices including exposure to verification, certification, authorization, managed care, revenue capture and relationship building with payers.
6.Excellent oral and written communication in English.
7.Ability to perform routine numerical calculations for compiling various reports.
8.Ability to exercise good judgment and discretion in all interpersonal contact.
9.Ability to supervise and coordinate the work of subordinate clerical staff.
