JOB SUMMARY
Responsible for sales listing and voucher processing for single or multiple offices with 20- 200 employees. Prepares vouchers used to collect the commissions due to Company and sends out the associated invoices.ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
•Creates listing and deal files for sales transactions. Assigned new listing numbers and inputs all sales and lease information into the Company’s database.•Creates listing files, signage purchase orders, and marketing budget forms.
•Processes all vouchers as understood by the organization’s guidelines and procedures, including verification of handwritten voucher against the written contract, obtaining appropriate signatures, copying and distributing approved vouchers to the appropriate departments, and inputting vouchers into system.
•Manages the trust accounts for earnest monies including processing deposits and issuing checks.
•Maintains property signs inventory. Orders and removes all property signs for the office.
•Prepares occupancy report to be used as guidelines for revenue recognition.
•Distributes listing renewal information to sales professionals.
•Updates monthly reporting on sales transactions. Reconciles monies with listing
•agreements.
•Assists in the process of collection and distribution of client’s commissions.
•Other duties may be assigned.
REQUIREMENTS

Coordinates the work to be completed but is not responsible for formal supervision of employees.EDUCATION and EXPERIENCE
Bachelor’s degree and a minimum of two to three years of related experience and/or training. Entry-level accounting, bookkeeping, or real-estate experience a plus.CERTIFICATES and/or LICENSES
Real Estate License a plusCOMMUNICATION SKILLS
Ability to comprehend and interpret instructions, short correspondence, and memos
and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal group.
FINANCIAL KNOWLEDGE
Proven number skills, including required general knowledge of financial terms and principles. Ability to calculate simple figures such as percentages. Exposure to/basic experience with budget preparation.REASONING ABILITY
Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.OTHER SKILLS and/or ABILITIES
