T-OT-Sr. Administrative Assistant
Classification: Temporary Compensation: $17.00 to $20.00 per hour Executive/Personal Assistant to the President/CEO (Crescent Heights/Wilshire)A unique marketing and product design consulting firm with a small administrative headquarters in Los Angeles, as well as offices in London, Paris and Madrid and a staff of 20 professional consultants spread across the various locations. Clients (mostly well-known Asian brands) include major consumer electronics corporations worldwide. A design team in London and Madrid develops mobile phones and other similar consumer products on contract to clients. The design team also provides engineering and technical support to guide product development and manufacturing using a variety of outside suppliers based in Europe and Asia. The marketing division in Paris provides public relations, advertising and promotion support for related product launches in Europe, the US and South America. The company also handles sales and distribution of some of the products it develops. It's a fast paced dynamic environment with a young core team of multi-talented professionals often communicated across great distances using teleconferencing and Internet. Never boring and never a dull moment either.
Position:
Full-time professional executive/personal assistant to the President/CEO who is based in Los Angeles and Paris. Self starter, able to set priorities, meet deadlines, manage international/domestic travel schedules for a young team of foreign speaking support staff in five countries. Negotiate and identify suppliers and provide backup for the Los Angeles office general manager. Skills in PC-based computing in a small office LAN a must including: word processing, graphics for presentations, and spreadsheets. The candidate will have an appreciation for dealing with foreign cultures (principally Japanese and/or European), ability to multi-task, a basic understanding of communications and information technologies like mobile phones, the Internet, office systems, and experience in a support role in public relations and consumer marketing services. Resourcefulness and problem solving abilities are key.
Your specific job responsibilities will include, but are not limited to, the following:
Large amount of international/domestic travel arrangements
Coordinating meetings
Negotiating with suppliers and travel agencies
Preparing travel expense reports in multiple currencies
Purchasing office equipment
Screening telephone calls
Written correspondence
Creating and maintaining files
Creating presentations and spreadsheets
Setting up office equipment
Support with/at trade shows and conferences
Caring for people
Bookkeeping skills a plus
Day to day support to the President/CEO
Qualifications:
Minimum 3 years relevant experience in a marketing services environment preferred (consumer electronics, information technologies, broadcast or home media, PR or advertising)
Excellent administrative and data/technology management skills
Proficiency in Microsoft Word, Excel, PowerPoint and Outlook software.
"Excellent" writing and skills in English
Proficiency in French, Spanish or Japanese as a second language preferred but not mandatory
Knowledge or strong interest in office and consumer technologies
Minimum Bachelors level degree from recognized university or college in Europe, the US or Canada
