Staff Assistant- Norfolk
The American Cancer Society seeks a Staff Assistant for the Norfolk, VA office.
JOB RESPONSIBILITIES:
Utilizes skills in word processing, typing, filing and routine record-keeping to accomplish specific project tasks. Provides customer service to staff in region/department in regards to ordering, processing of work requests, and special needs. Provides administrative support to meetings as requested including planning, coordination and follow-up. Effectively collects, organizes and disseminates information. Prepares correspondence, memos, reports and other written materials. Assists office volunteers in office-related tasks. Utilizes available technology to perform position responsibilities and completes work in an efficient manner. Answers phone inquiries and routes calls to appropriate staff. Proactively and assertively addresses issues as they arise. Provides administrative support to Regional field offices or Department as necessary for the efficient and effective day-to-day operations. Prepares simple analyses of requested information or data. Assists in creating documents and material using desktop publishing or word processing systems. Develops and maintains procedures for tracking projects. Manages databases relevant to departmental programs. Prepare and submit timely reports as requested. As requested, process and deposit income in a timely manner. As requested, insure that local bills are processed in a timely manner. Maintain complete and updated files and records in accordance with standards of the Division. Ensure that all communication to both internal and external customers is conducted in a professional manner. Assist with the recruitment and training of office volunteers as requested. Makes business based decisions; maintains accurate files, submits timely and accurate reports; meets timelines, follows through; apprises supervisor of status; provides viable & innovative solutions to problems; attends meetings/trainings, adheres to approved policy/procedure, represents the organization in a professional manner. Maintain and order adequate inventory of American Cancer Society materials as requested. Performs other duties as assigned.
REQUIREMENTS
Minimum Qualifications:
High School graduate with a minimum of two years of administrative work experience. Excellent interpersonal skills to interact with staff team, volunteers, other organizations, community leaders and the public at large. Advanced skills on Windows-based PC and Microsoft applications are essential. Knowledge of budgetary procedures preferred. Typing proficiency of 50 WPM.
