ROLE PURPOSE:
Responsible for providing administrative support typically to the more senior level staff in the legal department. Proactively relieves senior staff of many administrative details. Tasks may include: drafting correspondence and other materials, screening and directing telephone calls, coordinating meetings and travel plans, and maintaining legal files and databases. Performs routine legal support activities, including communicating with internal and external clients to gather documents and information as requested by legal staff. A significant portion of time may be spent on project work which is typically confidential and sensitive in nature. Work is performed under minimal supervision. May provide functional guidance to lower level staff.
ESSENTIAL FUNCTIONS:
Performs a variety of administrative tasks typically for the more senior level legal staff. Tasks may vary depending on specific requirements of legal function.
Drafts confidential documents and other materials which may be complex in nature. May produce quarterly materials for board meetings.
Interacts with senior management and external board members as required.
Performs routine legal support activities, including preparing basic contracts and other legal documents, and communicating with internal and external clients to gather documents and information as requested by legal staff.
Answers, screens, and directs incoming telephone calls ensuring a high level of customer service.
Schedules appointments, coordinates meetings and travel arrangements, and prepares expense reports as required.
May be privy to sensitive material, including establishing and maintaining confidential files.
Assists with miscellaneous clerical tasks, including data entry, ordering office supplies, copying, faxing, and establishing and maintaining department legal files and databases.
May be responsible for managing complex departmental projects which may be confidential and sensitive in nature.
May provide functional guidance to lower level staff.
OTHER FUNCTIONS: Assumes additional duties as requested or assigned.

Strong verbal and written communication skills
MINIMUM EXPERIENCE:
Five years administrative support experience required
Two years mutual fund, corporate or securities legal experience required
MINIMUM EDUCATION, TRAINING AND CERTIFICATIONS:
High School diploma or GED required; college degree preferred
Some legal training preferred
WORKING ENVIRONMENT/PHYSICAL ACTIVITIES:
Overtime may be required on short notice and may include weekend, holiday, and evening hours
Basic office equipment, including PC, telephone, copier, fax machine, etc.
PC usage up to 100% of the time
