Senior Administrative Assistant - San Francisco
Major Responsibilities and Job Activities
Workload Management
§ Proactively initiate daily/regular check-in meetings with consultants to determine needsand tasks
§ Manage time, multiple demands, and competing priorities effectively to accomplish all tasks
§ Coordinate production requirements and deadlines with the Production Team
§ Work well under pressure
§ Ensure that there is adequate back-up support and resources during periods of heavy workload by communicating with Manager
Administrative
§ Build and establish effective relationships with internal and external clients and their assistants (e.g., know client requirements and ensure that there is advance coordination of meeting logistics and delivery of materials). Communicate professionally and effectively with colleagues across the firm and client contacts on all levels.
§ Manage consultant calendars, including organization of internal, external, and off-site group meetings, teleconferences, and videoconferences. Synchronize meeting logistics with other consultants and teammates involved. Be familiar with consultants' calendar habits and alert them to last-minute, important changes in their schedule.
§ Analyze consultant and client needs, apply experience-based knowledge and skills, and determine proper course of action to ensure high quality results
§ Coordinate all travel arrangements for consultants including air, hotel, andground transportation
§ Provide reliable and steady phone coverage, ensuring back-up coverage all times
§ Monitor, distribute, and handle all incoming and outgoing correspondence. Coordinate overnight and same-day package deliveries. Copy, file, and fax as required.
§ Act as internal and external liaison and point of contact on large client projects between Project Coordinators, Project Specialists, and Consultants
§ Understand the confidential nature of Mercer Delta's business, apply good judgement when dealing with confidential data and materials, and convey this principle to more juniorteam members
§ Track, reconcile, and produce consultants' expense reports for submission to Finance
Firm Citizenship
§ Participant in Operations Team planning, brainstorming, and projects
§ Proactively reach out to teammates and be available as a resource; take initiative; self-start on projects; offer effective solutions
§ Partner effectively with consultants and other teams (e.g., Research, Human Resources, Technology, and Finance)
Leadership
§ Work with your Manager to help design and facilitate Operations Team Learning Sessions
§ Document and share expertise and resources with teammates to build knowledge and increase efficiency
§ Answers "how to" questions from firm members about Mercer Delta's culture, style, policies, and procedures
Creation and Production of End Products and Client Deliverables
§ Ability to produce letters, memos, and presentations in required Mercer Delta software(i.e., Microsoft Word, PowerPoint)
§ Demonstrate expertise in Mercer Delta style and MIDAS application (schedule client interviews, update MIDAS database, and coordinate small MIDAS projects). Willingness and ability to transfer that knowledge to junior team members.
§ Proof and edit all documents for Mercer Delta style in a timely fashion and coordinate document production.
REQUIREMENTS
Job Requirements
Education
Bachelor's degree from an accredited school preferred
Technical Skills and Experience
Possess excellent computer word-processing, presentation and database skills, with proficiency in Microsoft Word and PowerPoint.
Four-to-six years experience, preferably in a consulting environment
Organization and Project Management Skills
The Senior Administrative Assistant must demonstrate professional maturity, self-confidence, and flexibility; ability to act independently as appropriate; ability to deal with people in a consistent and fair manner; strong communication skills, strong organization skills, detail and quality orientated; have the ability to juggle simultaneous projects, and be a solid team player.
