School Administrative Assistant-Office Manager
The Administrative Assistant to the Director of Educational
Services and Office Manager for the Anne Arundel Campus will be responsible for providing secretarial and administrative support to the Guild's educational/administrative staff.
Duties will include:
Prepare the IEP for all students, as necessary for the CIEP process.
Finalize the annual student's CMP pack-et. This includes the assembly of all needed evaluations progress/clinical notes, etc., for final presentation at annual CLEP meeting.
Prepare tuition cost sheet information needed for an accurate tuition rate on all students enrolled. (This includes additional tuition costs showing 1: 1, aide, other therapies' hourly/monthly rates along with beginning and ending dates).
Type reports, letters, proposals, budgets, correspondences and progress summaries.
File correspondences, proposals, reports, memos, etc., and keep files in good order, securing files as necessary.
Maintain and update various charts (attendance, student addresses, class lists, classroom schedules, substitute lists, etc.)
Assist in the hiring, training and supervision of the Secretary/Receptionist.
The handling of all Maryland State Department Disability requests for all students Assist in record keeping for the Guild's federally funded food program.
Oversee filing system to assure that all records are filed in a consistent manner
Assist Director of Educational Services with the planning and scheduling of the CIEP process. Coordinate other CIEP activities to include scheduling of meetings, maintaining current student addresses and all information updates.
Prepare Quarterly Report cards, which includes calculating quarterly attendance and distribution.
Train and oversee the workload of support staff person.
Oversee the general needs of office supply ordering and the efficiency of the general office area (student file cabinets, machines and appearance).
Maintain the upkeep of the terminated student files.
Scheduling for coverage when regular receptionist is out.

REQUIREMENTS
High School graduate, plus three years of office experience or two years of college, plus one year of office experience.
