Opportunity:
Registration Specialist, Global Conference Group, reporting to the Director of Registration
This position interacts with firm professionals of all levels on a daily basis. The Registration Specialist is the Point of Contact for all firm professionals and external clients of all levels, utilizing the "Reg123" registration system. They are responsible for the management of registration and housing for all meetings, inclusive of learning, client and Partner meetings. Excellent verbal and written communication skills are needed. Additionally, this position interacts with external clients when managing housing for meetings.
This position
partners with the meeting planner in managing room changes and rooming lists directly with the hotels. The Registration Specialist is a critical part of the meeting planning process and planning team. There is constant interaction and dialogue with the meeting planner, and the internal client(s) sponsoring the meeting. This position requires good judgment to successfully manage credit card payment processing, hold slot registration, waitlists, answering questions of meeting attendees and internal clients, handling special requests by meeting attendees, correspondence with meeting attendees, adherence to housing deadlines and reports.
This position has a high degree of influence with internal clients, particularly meeting attendees and meeting organizers. They have the ability to control and influence the timeline of registration, communications to meeting attendees, and how registration announcements are set up technically. This position requires incredible attention to detail and
organizational skills to be able to perform the tasks of registration (building events, managing the registration process, functionality of breakouts and recreation, creation and formatting of final reports).
Day-to-day operational responsibility includes but not limited to:
Adhere to proactively established timelines to minimize the firm's financial exposure with hotels and related suppliers.
Effective communication of meeting announcements and consistent attention to a high level of internal customer service and detail management. This includes communication for international and client meetings with a high degree of cultural sensitivity and personalization/hand-holding of participants. Manual entry of registration is often required for high level meetings.
Direct contact with hotels on room management of meeting attendees when applicable.
On-site room management when traveling to meetings.
Managing credit card payments,
tuitions, and charge backs for no-shows, and cancellations
Generate reports to support the internal client and meeting planner's needs to allow them to successfully execute the logistical portion of the meeting.
Maintaining complete and detailed historical meeting records which support awarding continuing education credits, proper allocation of meeting expenses and core competency tracking.
Special
5+ years prior work experience in travel agency, registration, meeting planning or a rooms division of a hotel is required.
The Registration Specialist must be a team player, have strong analytical skills and be able to work under tight time constraints. This position must have organizational and communications skills to work with staff, as well as, Firm Leadership. Must be able to work independently, with an ability to interact and build consensus among the registration team. Strong knowledge/advanced skills in the Microsoft Suite of products (Word, Excel,
