Under general direction, assists Branch and Region Management to ensure adherence to Johnson Controls administrative policies and processes. Develops, implements, interprets and adapts administrative policies and procedures pertaining to overhead detail management, fleet management, reception, uniforms, check requests, facilities and other general management for use at a regional and branch level. Analyzes and troubleshoots region level overhead accounts. Advises branch administration on sound administrative processes. Provides oversight of branch facilities issues (i.e. lease, utilities, insurance, copy machines, etc.).
PRINCIPAL DUTIES:
Manages region level overhead accounts. Prepares budgets for overhead accounts for management approval. Participates in overhead forecasting related activities. Reviews monthly overhead details to identify issues and corrects misapplied costs. Identifies and analyses cost trends and proposes improvements to management.
Ensures all assets are handled according to Johnson Controls' policy (fleet management, telecommunications) and that resources invested in assets are being used most effectively. Procures office equipment / furnishings as needed. Tracks capital AR requests against plan. Utilizes SSA resources and negotiates local contracts as needed. Conducts yearly branch asset inventory.
Oversees branch facilities management including service contracts and maintenance / repair. Coordinates SSA resources to utilize Corporate/National programs and negotiates local contracts as needed. Working with local management, ensures efficient facility operations and employee comfort.
Ensures licensure and insurances required to do business at local or regional levels are in place.
Provides administrative support to the Regional Vice President and General Managers. Plans meetings and events, prepares correspondence and presentations as assigned. Completes and generates reports, statistical research, presentations, organization charts, training sessions, timelines, tables or graphs as requested.
Serves as a primary source of information on regional and branch administrative operations, corporate procedures, and sound administrative practices. Supports administrative processes as directed by Controls Group Finance. Ensures communication to region and branch management on Johnson Controls' administrative policies and procedures.
Supports branch administrative personnel in administrative functions such as word processing, spreadsheets, PowerPoint and data base programs. May be a resource for administrative software packages.
Acts as the region liaison to the Shared Service Center. Ensures correct level of services for region needs are met.
Performs other duties as assigned.
REQUIREMENTS
Bachelor's degree in accounting or finance preferred, high school diploma or equivalent required, plus five years of related work experience. Experience and / or basic accounting principals required. Proficient computer skills within the following applications: Advanced Microsoft Word, Excel, ACCESS, Desktop Publishing and Internet business application usage. Must demonstrate the ability to perform work independently and demonstrate solid organizational and attention to detail skills. Must have strong interpersonal skills to effectively communicate with both internal and external clients. Must have the ability to simultaneously handle a large and diverse number of projects, tasks and issues with tact, cooperation, and persistence. Ability to prioritize work activities based upon financial impact to desired business goals.
