Recruiting Coordinator
Hours: 8:00a.m. – 500p.m.
One Hour Lunch
Overtime required when necessary
Responsibilities:
•Manage and update Requisitions recruiting database (recruitmax)
•Post new jobs and track candidates
•Schedule interviews, coordinating with agencies, line manager, senior recruiters
•Coordinate candidate travel arrangements
•Coordinate background checks
•Coordinate Vendor Relationships
•Set up new vendors/agencies in recruitmax
•Set up new vendors/agencies with contracts (legal agreements) in contract databas
•Manage candidate life-cycle in recruiting database (recruitmax)
•Schedule interviews, coordinating with agencies, line manager, senior recruiters
•Coordinate candidate travel arrangements
•Working knowledge of the Client in house guest registration system
•Communicates with search and contingency agencies
•Collect, track and update interview status, feedback and EEO from Client managers
•Run regular duplicate checks
•Track internal mobility candidates
•Handle employee relations checks for current and former employees
•Request reviews from HCM for internal candidates
•Send acknowledgement letter to senior management when a candidate has been referred
•Coordinate the offer process
•Includes coordination of letter from comp group, and sending offer applications
•Coordinate background checks
•Follow up with Client background check group handling full time employees
•Follow up with candidates on processing applications
•Schedule drug test and background check
•Prepare “welcome packages”
•Prepare welcome packages for Fedex
•Send email to candidate
•Post MIS/background check/Divisional HCM with confirmed Start Date
•Update Recruitmax
•Perform above and any additional function as required

Expectations/Metrics:
•Book all candidates through Client travel department
•Request prior year reviews for candidate within (24) hours of notification
•Contact Security and request background check information within (24) hours of notification
• Send out Candidate offer letters via overnight delivery to candidate on the same day the offer letters are received from the Firm’s compensation group or divisional contact
•Send out welcome packages within 24 hours following the candidate clearing Client background process
•Within (4) hours following candidate interviews, coordinators should solicit feedback from Client managers regarding the candidate interview via email.
•Coordinators will begin setting up interview schedule within (4) hours of being notified by Client senior recruiter. All resumes for next day interviews must be directed to Client recruiter’s desk by 5:00pm on the day before the interview.
•Coordinators will update Recuitmax database daily, all changes being posted within (24) hours of notification.
•Coordinators will regularly check status of pending and scheduled interviews, voicemail and emails a minimum of every (2) hours. If action is required, Coordinators will respond with (2) hours and resolve issues within (24) hours.
•Coordinators will answer phone calls within (3) rings
•For all interviews, coordinators will ensure all schedules (100%) complete and accurate with the relevant resumes attached.
•Coordinators will send an acknowledgement letter whenever a candidate is referred by Senior management.
