WHAT WE’RE LOOKING FOR
•Minimum of 2 years of multi-line switchboard, front office experience in a fast-paced environment
•Some human resources experience preferred
•High School education required; additional education a plus
•Bilingual (Spanish/English) a plus
•Office skills to include: filing, typing correspondence/memos, and operate general office machinery
•Working knowledge of Microsoft Office
•Strong customer relations and administrative skills
•Experience managing multiple projects concurrently, demonstrating a sense of urgency
•Ability to learn new systems quickly and create improved efficiency
•Excellent follow-up skills
•Effective verbal communication, writing and grammar skills, organizational skills, and attention to detail
•Positive attitude and patience with the eagerness to learn
GENERAL DESCRIPTION
•Answer and route calls using a multi-line system
•Greet and direct all visitors, vendors, and job applicants to appropriate parties
•Send, receive, and distribute faxes, mail and courier
•Manage conference room schedules
•Support the Human Resources department with administrative tasks, such as:
oData entry of applicant flow
oEnter and audit I-9 documentation
oAssist with pre-employment screening
oCreate new employee personnel files
oEmployment verifications
oTyping and preparing correspondence/memos (applicant response letters, jury duty, employee verifications, etc)
oEmployee benefits support
oGeneral Filing
The successful candidate will have a positive, professional demeanor, excellent interpersonal skills and will be able to work as a team player. The nature of the work will require that the candidate demonstrate initiative and responsibility and be flexible/adaptive to a fast-paced and fluid business environment. Candidate must be able to communicate effectively with all levels of the organization, solve practical problems, and maintain the integrity and confidentiality of information.
