QM Administrative Assistant

Purpose: Provides office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects. Provides support services to the QM Department and to specific QM staff and activities by supplying support functions and administrative services.

Responsibilities:
Organizes work by reading and routing correspondence; collecting information; initiating telecommunications. Maintains department‘s schedule by maintaining calendars for department personnel; arranging meetings, conferences, and teleconferences. Maintains department‘s supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. Prepares reports by collecting, analyzing, and summarizing information and trends. Provides information by answering questions and requests. Provides historical reference by using filing and retrieval systems. Maintains customer confidence and protects operations by keeping information confidential. Maintains database by entering and backing up data. Maintains company reputation by complying with regulatory requirements in collaboration with the Compliance Department. Contributes to team effort by accomplishing related results as needed.

Job Requirements



HS graduate, three years of related experience. Ability to work with MS Excel, Word and Outlook, Powerpoint, Access and Visio, Type 50WPM plus.
