Program Services Assistant/Data Coordinator
POSITION SUMMARY:
Under the general supervision of a Director of Care Management, the CEC Program Services Assistant (PSA)/ Data Coordinator has primary responsibility for obtaining required data and organizing the data in a format that is appropriate for the audience it is prepared for. In addition, this position performs a variety of complex, responsible, and confidential duties, requiring a thorough knowledge of organizational procedures. He/she provides assistance to CEC management team and performs related work as required to meet objectives, and has a thorough knowledge of the Clinical Information System (CIS). The position requires the ability to work independently, exercising judgment and initiative, and a strong internal customer service orientation.
RESPONSIBILITIES INCLUDE:
Maintain Excel Spreadsheet including or similar to: Manual add summaries, Rare and Chronic Summaries, High Priority Team weekly/monthly Summary.
Maintain daily clinician data reporting to roll up into weekly and monthly reports for measurable metrics.
Production of monthly reports, analyzing data variances from period to period in order to ensure the integrity and accuracy of Corporate Chart Audits.
Maintain reporting utilized by the quality committee for gap analysis and to identify areas where improvements are needed.
Actively participate with and support Management in developing new Excel Spreadsheets or Microsoft Access databases with the identification and analysis of data issues in support of continuous data integrity validation and quality for the purpose of improvement processes.
Telephonically communicates to members the program benefits and components.
Screens requests and telephone calls, directing appropriately to designated individuals.
Facilitates communication and requests among disease program team members, Healthways CEC operations and market based colleagues, and health plan providers and members.
Ensures sufficient office supply inventories to facilitate clinical operations. Coordinates with Program Administrative Assistant to ensure ordering of supplies as needed or requested.
Is sufficiently cross-trained to provide administrative support to all members of the team as needed.
Projects and Presentations:
1. Gathers, compiles and prepares data for special projects; prepares comprehensive reports as directed.
2. Prepares and processes information of a sensitive nature while maintaining confidentiality.
Miscellaneous:
Other tasks would be to support specific internal requests for the continual enhancement of CEC processes, as required. This may include participation in project workgroups within the organization and act as a resource person for internal colleagues.
OVERALL QUALIFICATIONS:
Qualifications for this position should include experience analyzing healthcare data, demonstrated contemporary experience using MS Access, MS word, MS PowerPoint, and must be proficient in MS Excel; Health plan contractual knowledge is a plus.
This individual should present with demonstrated and strong organizational and communication skills, creativity, problem-solving skills, and the ability to manage multiple priorities.

QUALIFICATIONS:
1. High School diploma supplemented by technical medical knowledge, specialized secretarial and/or computer courses. College course work is desirable.
2. A minimum of three years experience in the healthcare field, such as Medical Assistant, Medical Technician or health care assistant, or three years experience in the customer service and data entry role in a related healthcare field.
3. Ability to work effectively with all levels of management and other colleagues; demonstrate initiative, mature judgment, and customer service orientation; and anticipate needs of management team.
4. Possess computer competencies to include word processing, spreadsheet, graphics, and data base management.
5. Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exits. Ability to interpret and organize data in an effective and useful manner; ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
6. Computer Skills: To perform this job successfully, an individual should have intermediate to advanced computer skills and be familiar with a Windows operating system.
