Part Time Receptionist - Administrative Assistant

Our client is seeking a part time receptionist for their agency in Wilton. This client is a full service management consulting firm emphasizing senior level executive recruiting within consumer packaged goods and related industries. The firm also provides associated services such as career development, compensation planning, organization and succession planning. The company offers a highly pleasing work environment in a professional, charming, business casual environment.
Responsible for providing general administrative and office support in a team-oriented, self-directed esprit-de-corps fashion. The primary focus will be to ensure a smooth daily workflow and professional representation of the company with their clients and candidates, whom they affectionately call "friends of the Firm".
As the initial point of contact for roughly 90% of all incoming telephone calls into the office, one important competency for which this person's success will be measured will be his/her ability to genuinely project warmth, sincerity, and an innate willingness to want to be helpful on the phones.
In addition, as they work collaboratively and as a team, the role will also provide administrative support to include typing, photocopying, editing of correspondence, as well as ad hoc project work.
Authorities and accountabilities include: -On-point for the majority of incoming telephone calls.
There are three people here to serve as back-up during peak times so that callers don't feel rushed or unimportant.
-Represent the company in a highly professional, positive and upbeat manner as a primary point of contact with external clients, candidates, vendors, etc.
-Work closely with all team members to promote open, timely communication throughout the office, and to enable the company to present a unified front; both internally and externally.
-Assist in maintaining file systems, including creating new files and keeping all search files and candidate mailing materials accurately assembled, amply stocked, and well-organized to enable quick, reliable access and availability.
-Type business correspondence, position specifications, candidate biographies and other documents as needed by the search team, applying solid editing and spelling skills, and formatting all documents to ensure they are grammatically correct, well-thought-out communications.
-Perform office tasks such as stocking résumé sample book, tracking "Rites of Passage" loaner books, creating/labeling recruiter disks, and assisting with various clerical/administrative projects as requested.
-Collect, open and sort daily mail reviewing all résumés submitted and distributing those appropriate to the search team for consideration against active and/or anticipated searches.
Send written acknowledgement for all résumés received.

Must be able to work from noon to 5:30 daily in this very attractive office in Wilton.
REQUIREMENTS
Clerical/administrative experience in a small to medium sized company, preferably within a consulting or field sales/marketing office.
-Exceptional acuity with Microsoft Office applications (Outlook, Word, PowerPoint, Excel).
-Reliable, dependent, detail-oriented, and genuinely committed to quality initiatives.

-Ready, willing and able to work Monday through Friday; from noon to 5:30. They can be flexible on the start time, but not on the end time as we stagger the hours for our administrative team, and this position works until we close our doors at 5:30.
