Office Support III, Principal Gifts

Princeton University is a vibrant community of scholarship and learning that stands in the nation's service and in the service of all nations. Chartered in 1746, and known as the College of New Jersey until 1896, it was British North America's fourth college.Position Summary: We are sourcing for 2 office support III's for Principal Gifts. This individual is responsible for providing high level general secretarial and administrative office support to two frontline fundraisers in the Office of Principal Gifts. Reporting to two senior associate directors, the successful applicant will be an important part of the Principal Gifts team, which oversees the University's relationship with its most capable donors. S/he will regularly interact with donors, volunteers, University trustees and with the offices of the President, other senior administrators and faculty. S/he will be a member of a three person support staff team within Principal Gifts. The Office Support 03 staff person is expected to successfully perform general secretarial duties, including: creating, organizing and maintaining files; responding to telephone or other inquiries; scheduling meetings and maintaining appointment calendars; distributing paperwork to appropriate parties and files; making travel arrangements; preparing expense reports; and using and maintaining office equipment, such as copiers, faxes and printers. The incumbent will use technology and software, including Word, Excel, Access, PowerPoint and STRIPES--the Development Office's comprehensive database system--for a range of functions. S/he will prepare, proofread, edit and finalize correspondence, presentations, memos, reports and other documents. S/he will generate and organize materials for reports, presentations, events and special projects by conducting independent research. S/he will generate information for and assist with gift processing; conduct research and prepare reports on financial data; assist callers, visitors and other staff on behalf of supervisors; and communicate directly with donors, alumni, volunteers, or their representatives to provide information or schedule meetings or campus visits. S/he will provide planning support for on- and off-campus events and undertake special projects and assignments as determined by supervisors.Job Function: Office or Library SupportGrade: BOS 030Standard Hours: 36.25Eligible for Overtime: YesJob Requirements
Essential Qualifications:
Excellent word processing, spreadsheet preparation, proofreading, data and financial information management, and presentation skills. - Excellent interpersonal skills and a high degree of professionalism and initiative. - Accuracy, close attention to detail and discretion in dealing with highly confidential material. - The ability to exercise independent judgment and make decisions based on established policies and procedures in supervisors' absence. - The ability to manage heavy workload of two administrators and to prioritize projects as needed. - A high level of proficiency with computer equipment and the Microsoft Office suite of applications software, including Word, Excel, Access and PowerPoint.Education Required: High School or Equivalent
