Office Supervisor

The City Manager Office Supervisor manages the administrative support services for the City Manager’s Office, Mayor and City Council, and coordinates various complex administrative functions. Responsibilities include supervising and reviewing the work of assigned personnel, such as providing training, motivation and evaluation; serving as a central point of information for the Mayor, City Council, City Manager, elected officials, other government agency representatives, citizen and special interest groups, City department heads, staff and the public; answering questions, applying administrative policies, investigating service complaints, and handling sensitive and/or specialized inquiries; coordinating council agenda preparation; collecting and compiling information from various sources on a variety of specialized topics related to projects for the Mayor, City Council, and City Manager; monitoring and maintaining the City Manager and Council web pages; administering the City Manager’s Office budget; assisting with preparing administrative reports; coordinating calendars and arranging meetings; monitoring and writing correspondence on behalf of others; managing the procurement and payment of materials and services.
REQUIREMENTS
Requires five (5) years of experience related to supervising office operations or administrative services in a government setting; an associates degree in office management, business or a closely related field is desirable; or an equivalent combination of related experience and education relevant to the essential job functions. Must possess a thorough knowledge of business English and the principles of supervision and performance management. Must possess political sensitivity. Knowledge of municipal organizational structures, functions and operations is preferred. Must possess the ability to administer a variety of administrative, budgetary and clerical activities; coordinate diverse and unrelated assignments of varying complexity and procedure; compose letters and reports; work under time constraints and meet deadlines; evaluate problems, identify solutions, project consequences of proposed actions, implement recommendations; work independently; and deliver exceptional customer service while tactfully working with diverse or irate customers.
