Requirement Type: Direct HirePurpose:
Manage Facility Maintenance, Mail Room, Office Services, Records Center Processing, Physical
Security and Risk Management for the Phoenix Service Center in accordance with Albertson’s
policies and Government regulations. Budget administration for related areas and authorized
signature for Facility related expenses. Prepare RFP for facility maintenance/improvements,
vendor negotiations, and obtain approval of recommendations.FUNCTIONS:
Budget administration and control for Facility Maintenance, Mail Room and Office Services.
Manage maintenance of 104,000 sq. foot facility and common area to include: facility and parking lot repairs, HVAC maintenance and repairs, janitorial service, landscape maintenance, vending service, pest control, and tenant/sub tenant relations.
Manage PSC Mail Room to include: distribution of all incoming Accounting and Payroll/Personnel mail received via courier, USPS, UPS and Fed Ex, mail processing of A/P checks, A/R statements and vendor correspondence, maintenance of mail room equipment and purchasing of all necessary supplies and services.
Manage Office Services to include: copy center processing and maintenance of walk up copiers, maintenance of office equipment and purchasing of office supplies.
Supervise Records Center processing for all departments in the Phoenix Service Center. Records Center processing liason for the Scottsdale facility.
Physical Security Administrator for facility to include: monitoring of security system and fire protection system, issuance of access cards, key control, alarm systems, cctv systems and evacuation control.
Manage Risk Management and related areas for the Phoenix Service Center to include: accident reporting, OSHA compliance and administration of the PSC Safety Program.
Administer furniture/seating planning from design through coordination of purchasing and installation/implementation.
Supervise warehouse and related responsibilities to include shipping/receiving, furniture reconfiguration and general maintenance.
Supervise receptionist, proprietary, 3rd party guards and related functions.
Primary contact for building emergencies, on call 24 hours.
Coordinate paper recycling and certified data destruction.
CAM liaison, primary contact for tenants/sub tenants.
Facility event coordinator.
Other duties as assigned by Sr. Manager, Office ServicesKNOWLEDGE, SKILLS, & ABILITIES
Previous background and experience in administration of corporate office services systems and building maintenance, preferably with parent company. Background in and general knowledge of purchasing, inventory control and accounting necessary. Previous experience with personal computers helpful.
Possess supervisory skills and the ability to work with and through others to achieve desired results.
Possess good communication skills, both oral and written.
Requires the analytical ability to handle administrative duties such as purchasing, scheduling, training, accounting and payroll procedures. Mental alertness is necessary to ensure accurate, safe, and thorough completion of work activities.
