Office Services Administrative Assistant

The Office Services Administrative Assistant provides administrative support to the Office Services Manager and facilitates facility requests to ensure the smooth and efficient operation of the general office. To fulfill this role, the Administrative Assistant will:Handle sensitive information Complete project assignments Handle team scheduling and meeting arrangements Screen telephone calls Provide word-processing support Exercise judgment and make decisions to promote smooth workflow in the team and ensure that client demands are met Keep team members informed of information that affects workflow and service delivery Responsible for updating the office's business continuity plan with employee contact information and maintains the employee evacuation roster Coordinates facility requests through the Landlord (light bulb replacements, extra cleaning services, climate control and general maintenance) Coordinates workstation, office and telephone moves Orders AMEX cards, telephone credit cards and programs security badges Handles new hire orientations Liaise with the on-site outsourced mail and production team to ensure requests are handled accurately Orders business cards, note pads and logo-embossed company stationary
REQUIREMENTS
Three to five years' of administrative assistant experience In-depth knowledge of the administrative procedures and tools required to support an individual or group Proficiency in Microsoft Office, with demonstrated expertise in Word, Excel and PowerPoint Strong organizational skills, detail oriented, must be proactive and follow through on outstanding projects Ability to work well under pressure, juggle tasks (both client and office-related) and work efficiently against deadlines Ability to prioritize multiple projects and adjust workload accordingly Demonstrated problem solving and judgment capabilities Excellent oral and written communication skills Exceptional interpersonal, organizational, business communication and time management skills Willingness to learn and adapt to new responsibilities Experience in a consulting environment preferred Demonstrate diplomacy in dealings with service areas, consultants, and clients.
